About the position

The Senior Meeting Planner serves as the primary liaison between the FINRA Committee Liaison and committee members, focusing on providing comprehensive meeting planning support for the FINRA Corporate Governance committee meetings and outward-facing member meetings. This role involves managing logistics, budgeting, contract negotiations, and serving as the production manager for virtual and hybrid events, ensuring that all aspects of the meetings are executed smoothly and efficiently.

Responsibilities

  • Build registration within Cvent for meetings.
  • Plan logistics for catering and audio-visual needs.
  • Manage budgeting and contract negotiations for events.
  • Serve as production manager for FINRA virtual/hybrid events.
  • Facilitate pre-conference meetings and site selection.
  • Negotiate favorable prices and contract terms with suppliers.
  • Create and manage meeting registration through Cvent.
  • Monitor day-to-day registration data and initiate confirmation letters.
  • Coordinate communications to external committee members.
  • Oversee the cost consistency of all Corporate Governance committee meetings.

Requirements

  • College degree or equivalent experience.
  • Five (5) years of experience in meeting management or hospitality.
  • CMP certification preferred.
  • Comprehensive knowledge in contract negotiations.
  • Proficiency in using Microsoft Suite and CVENT databases.
  • Ability to implement projects independently and work collaboratively with various departments.

Nice-to-haves

  • Background in registration systems.
  • In-depth knowledge of caterers and conference centers.
  • Experience with webcasting and multi-casting.
