The Senior Office Clerk at Epiq plays a crucial role in providing various administrative support services to clients within a law firm environment. This position encompasses a range of responsibilities including copy, print, mail, hospitality, facilities, and receptionist services. The Senior Office Clerk is expected to work independently on assigned production tasks, ensuring that all client needs are met with professionalism and efficiency. In terms of mail services, the Senior Office Clerk will be responsible for metering, sorting, and distributing mail and accountable packages according to a set schedule. The copy services aspect of the role involves accurately producing copy, print, and scan projects based on written instructions provided by clients. Reception duties include answering incoming telephone calls, routing them to the appropriate personnel, and greeting visitors in a friendly and professional manner. Hospitality services are also a key component of this role, which includes the coordination and upkeep of client conference rooms, common areas, and kitchens. The Senior Office Clerk will inspect and ensure that all rooms are clean, stocked with necessary supplies, and ready for continual use. Additionally, they will maintain inventory control and order supplies as needed. Floor coordination responsibilities involve the upkeep of copy rooms, stocking general supplies, and delivering paper. Facilities services may include tasks such as hanging pictures, managing small office moves, and communicating with key client contacts regarding building or equipment concerns. The role also requires handling client complaints related to lost parcels, damaged packages, and untimely deliveries, ensuring that issues are resolved with professionalism and tact.

Responsibilities

  • Metering, sorting, and distributing mail and accountable packages per schedule.
  • Producing copy, print, and scan projects accurately per written instructions.
  • Answering incoming telephone calls and routing them to the appropriate person.

  • Coordinating and maintaining client conference rooms, common areas, and kitchens.

  • Organizing and distributing client kitchen supplies and maintaining inventory control.
  • Upkeeping copy rooms and stocking general supplies, including delivery of paper.

  • Performing small office moves and communicating with key client contacts regarding building/equipment concerns.

Requirements

  • High School Diploma or GED.
  • Minimum of 1-year professional level work experience in a production setting, preferably in copy, print, scan, and hospitality services.
  • Previous experience in a client service-oriented field.
  • Working knowledge of PC applications such as Microsoft Office, especially MS Word, Outlook, and Excel.
  • Ability to multitask with attention to detail.
  • Ability to resolve issues with professionalism and tact.
  • Ability to lift or move 40 lbs. or greater.
  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 50 lbs.
  • Ability to walk, bend, kneel, stand or sit for an extended period of time.
