About the position

The Senior Operations Coordinator at Community Housing Innovations (CHI) plays a crucial role in ensuring that the agency's internal processes and infrastructure effectively support its mission-driven initiatives. This position involves a combination of administrative and technological responsibilities, including overseeing special projects, managing information systems, and coordinating various operational functions under the supervision of the Director of Operations.

Responsibilities

  • Ensure ongoing maintenance and updating of information systems and infrastructure, including hardware, software, and database applications.
  • Conduct needs assessments and oversee the selection, purchase, and maintenance of all office equipment and supplies.
  • Assist in training staff on new software, computers, and office equipment.
  • Maintain all CHI camera systems, including new installations and updates.
  • Serve as a liaison between agency staff and NST.
  • Coach, mentor, prioritize, and assign daily responsibilities for the administrative staff.
  • Manage CHI Corporate Documents, both paper and electronic; maintain master grant and contract files, letters of agreement, insurance certificates, contracts, leases, and other legal documents.
  • Communicate with landlords regarding maintenance, health, and safety concerns of sites.
  • Coordinate ordering of food with food vendors and reconcile invoices.
  • Complete monthly health and safety inspections of sites and oversee city fleet and drivers with the fleet manager.
  • Facilitate ID creation and uniform assignment, and oversee maintenance staff in Brooklyn and Bronx.

Requirements

  • Bachelor's degree in a related field required.
  • 5-7 years of relevant experience acceptable in lieu of education requirement.
  • Required to obtain a Certificate of Fitness for Coordinator of Fire Safety and Alarm Systems in Homeless shelters (F80) within the first 30 days of employment.
  • Required to obtain OSHA 30-Hour Online Training for Construction and General Industry Course within the first 90 days of employment.
  • Required to obtain a Food Handlers Certificate from a credentialed company through the Department of Health.
  • Excellent verbal and written communication skills; proficiency in English required.
  • Intermediate or expert level proficiency in MS Office (Word, Excel, PowerPoint, Access), Outlook, and on the internet.
  • Valid driver's license.
