About the position

The Senior Operations Specialist will provide critical support in the administration, planning, and management of operations activities within the organization. This role is essential for improving operational management systems, processes, and best practices that ensure the well-being of the organization. The Specialist will coordinate and participate in Integrated Product Team (IPT) meetings, contributing functional or technical expertise and providing administrative support to government program office leads or managers. This includes scheduling and executing recurring meetings, updating strategic calendars, and collecting program office inputs for quarterly Risk Management Boards. In addition to these responsibilities, the Senior Operations Specialist will assume ownership of daily operations processes and routine products, ensuring a precise and consistent flow of operations for organizational leaders. The role requires effective communication of taskings from the Government Operation Director to Staff Directors and O-5 functional organizations, as well as engaging stakeholders to plan for senior-level engagements in a dynamic environment. The Specialist will analyze short-term, mid-term, and long-range planning on projects and tasks, anticipating potential implications and rapidly developing innovative solutions to efficiently handle unplanned events and issues. The position also involves preparing and distributing briefs based on stakeholder discussions and feedback, reviewing and analyzing issues, and providing recommendations for improvements to enhance performance for RA leadership. The Specialist will develop, revise, recommend, and ensure the implementation of policies, plans, procedures, and directives, while preparing reports and presentations that outline the current status across organizational and functional lines. The role may also involve leading teams on various special programs or projects, identifying existing or potential problem areas, and recommending corrective actions. Overall, the Senior Operations Specialist plays a vital role in ensuring that programs and initiatives meet management expectations and contribute to the organization's success.

Responsibilities

  • Coordinates and participates in Integrated Product Team (IPT) meetings, providing administrative support and contributing expertise.
  • Schedules and executes recurring meetings and reviews, such as Staff Calls and Program Management Reviews.
  • Updates the strategic calendar with significant activities, travel, and events on a weekly basis.
  • Coordinates the scheduling and collection of program office inputs for quarterly Risk Management Boards.
  • Assumes ownership of daily operations processes and routine products to ensure a consistent flow of operations.
  • Communicates taskings from the Government Operation Director to Staff Directors and O-5 functional organizations.
  • Engages stakeholders to identify and plan for senior-level engagements in a dynamic environment.
  • Analyzes planning on projects and tasks to anticipate potential implications and develop innovative solutions.

Requirements

  • Master's degree and seven (7) years of relevant work experience, or Bachelor's degree and ten (10) years of relevant work experience.
  • Experience interacting with Army stakeholders supporting similar scope and scale of services is preferred.
  • Experience working successfully within a mature services-based capability for enterprise-level customers is preferred.
  • Demonstrates working knowledge of the concepts involved in the specific functions outlined in the specified labor category description.
  • Knowledgeable of and demonstrates ability to follow DoD classification guidelines and procedures.
  • Ability to work semi-independently with oversight and direction.
  • Ability to use logic when evaluating and synthesizing multiple sources of information.
  • Ability to produce timely, logical, and concise analytic reports and documents using Microsoft Office tools.
