About the position

As a Senior Operations Specialist, you will provide advanced clerical and administrative support to departmental managers while assisting in the coordination of daily operations. This role requires a higher level of responsibility and minimal supervision compared to entry-level positions. You will be tasked with recording and reporting data, troubleshooting and resolving safety, service, and operational issues, and maintaining department-related information. Your duties will include creating, distributing, and closing out customer tickets daily, as well as completing and maintaining various reports as directed by the department manager. You will also utilize software tools to manage tasks related to procurement, time and attendance, safety incidents, and contract labor. Additionally, you will assist with data collection and reporting for incentive pay programs, processing payments, and implementing operational projects as needed. Communication is key in this role, as you will interact with customers regarding service issues and with employees about scheduling and work assignments. This position does not have supervisory responsibilities, but it is essential to perform each duty satisfactorily to ensure smooth operations.

Responsibilities

  • Assists in troubleshooting and resolving safety, service, and operational issues.
  • Creates, distributes, and closes-out customer tickets on a daily basis.
  • Maintains and distributes department related information on a daily basis.
  • Communicates with other supervisors and managers about operations and/or dispatch issues.
  • Completes and maintains a variety of reports as directed by the department manager.
  • Uses software tools to manage a variety of tasks, such as procurement, time and attendance, safety incidents, and contract labor.
  • Assists with data collection and reporting required for incentive pay programs.
  • Assists with the processing of payments and other financial tasks as necessary.
  • Assists in the implementation of operational projects as needed.
  • Communicates with customers about service issues as needed.
  • Communicates with employees about scheduling and work assignments as needed.
  • May enter and maintain Service Machine SMART data on a daily basis.
  • Performs other duties as assigned.

Requirements

  • High school diploma or G.E.D. (accredited).
  • Three years relevant work experience in a comparable role.
  • Knowledge and practical ability to use a computer and Microsoft Office software.
