About the position

The Senior Payroll Specialist is responsible for the accurate preparation, documentation, and distribution of payroll through the payroll system. This role involves collaboration with HR and finance staff to ensure the integrity of payroll data and accuracy. The specialist will handle complex inquiries, mentor payroll administrators, and manage day-to-day payroll processes to ensure timely and compliant payroll operations.

Responsibilities

  • Prepare, document, and distribute payroll accurately via the payroll system.
  • Collaborate with HR and finance staff to ensure payroll data integrity.
  • Answer complex payroll-related questions and mentor payroll administrators.
  • Calculate and verify pay calculations, benefit deductions, tax computations, garnishments, and child support deductions.
  • Manage employee payroll data for new hires and terminations.
  • Examine payroll records for proper tax transaction recording and compliance with laws.
  • Review pay computations to ensure alignment with internal standards and policies.
  • Issue, track, and reconcile On-Demand payments and reversals as required.
  • Reconcile 401k to payroll and prepare journal entries related to payroll transactions.
  • Respond to internal inquiries regarding payroll and time and attendance issues.
  • Correspond with external parties, such as garnishment and tax agencies.
  • Assist payroll manager with registration of new state, local, and unemployment withholding taxes.
  • Investigate and resolve tax notices, penalties, and questionnaire requests.
  • Work with manager and payroll providers for proper filing of payroll tax reporting, including W-2 issuance.
  • Perform testing of payroll-related system enhancements and migrations.
  • Create reports using ADP Reporting system as requested by internal and external parties.
  • Assist with ad hoc projects, audits, and other tasks as assigned.
  • Maintain up-to-date knowledge of payroll regulations and ensure compliance with payroll laws.
  • Perform backup responsibilities for the payroll manager and administrators.

Requirements

  • Associate degree or equivalent experience.
  • 4-7 years of payroll-related experience.
  • Advanced proficiency in English.
  • Intermediate proficiency in mathematics for pay calculations and budgets.
  • High integrity and ethics with professionalism, confidentiality, and discretion.
  • Excellent verbal and written communication skills.
  • Working knowledge of Federal and State payroll laws and requirements in the US.
  • Ability to collect, analyze data, and articulate reliable conclusions.
  • Proven ability to provide exceptional customer service to internal and external customers.
  • Proficient in automated payroll processing software and time and attendance systems.
  • Ability to prioritize and execute tasks independently.
  • Intermediate proficiency in MS Office (Word, Excel, PowerPoint).
  • Intermediate proficiency in ADP and advanced proficiency in UKG.
