About the position

EnCompass LLC is seeking a Senior Payroll Specialist to support our Finance Team with payroll and other administrative functions to ensure efficient and accurate financial operations. This is a full-time position located at the EnCompass principal office in Silver Spring, Maryland, and follows the EnCompass flexible hybrid work model with split time between telework and the office. The ideal candidate must be legally authorized to work in the US for any employer without sponsorship for a work visa or permit. The Senior Payroll Specialist will be responsible for payroll administration, which includes reviewing and analyzing timesheet reports from CostPoint for accuracy and ensuring accurate posting to projects. The role requires maintaining employee records in ADP and accounting software, processing semi-monthly payroll for over 300 employees, and working with tax agencies when issues arise. Additionally, the specialist will assist with various payroll reconciliations, such as quarterly 941 and 401k, and work closely with the HR department to reconcile benefits. In terms of recordkeeping, the Senior Payroll Specialist will oversee the integrity of financial and consultant files, both paper and electronic, and provide guidance to the finance assistant as needed. The role also involves preparing appropriate schedules and reports as requested by team members and clients, coordinating and preparing pertinent information for external accounting firms and auditors, and providing excellent customer service and problem resolution for both internal and external partners. The specialist will analyze and recommend improvements, adaptations, or revisions to the payroll system and accompanying procedures, and engage fully as a member of the EnCompass staff team, participating in staff meetings and other EnCompass events. Other duties may be assigned as necessary.

Responsibilities

  • Reviews and analyzes timesheets reports from CostPoint for accuracy and ensures accurate posting to projects.

  • Works with tax agencies when issues arise.
  • Assists with various payroll reconciliations, i.e., quarterly 941 and 401k.

Requirements

  • High School Diploma and 10 years of experience; Associate's degree and 8 years of experience; or Bachelor's degree and 6 years of experience in Accounting, Finance or related field.
  • Proficiency in ADP.
  • Knowledge of generally accepted accounting principles.
  • Ability to maintain meticulous attention to detail resulting in work reflecting a high degree of accuracy.
  • Exhibit dependability, reliability and a willingness to work outside required set hours when deadlines require.
  • Adept at identifying and framing problems, setting priorities, and making critical assessments.
  • Excellent management, organization, communication and problem-solving skills with the ability to prioritize assignments and meet required deadlines.
  • Ability to communicate credibly and diplomatically with all levels in an organization.

Nice-to-haves

  • Proficiency with CostPoint or other government accounting software preferred.
  • Experience working on payroll for over 300+ employees a plus.
