About the position

The Senior Payroll Specialist is responsible for managing payroll processing for employees in the United States and Canada. This role involves reviewing, reconciling, auditing, and balancing payroll documents to ensure compliance with company policies and regulatory guidelines. The specialist will provide customer service to employees and third-party vendors, train staff on new procedures, and oversee special payroll preparations. The position requires proficiency in various payroll software and systems, and the ability to identify process improvements to enhance payroll efficiency and compliance.

Responsibilities

  • Complete payroll processing and all associated aspects.
  • Review, reconcile, audit, and balance payroll documents/files.
  • Provide customer service for employees and third-party vendors regarding payroll.
  • Train staff in new payroll procedures and oversee special payroll preparations.
  • Process regional payroll in the United States and Canada using ADP GlobalView and Celergo payroll software, Workday HRIS system, and UKG Kronos time and attendance software.
  • Maintain accurate record keeping and support spreadsheets and documents for filings and payments.
  • Address Tier 2 employee inquiries and resolve payroll-related discrepancies.
  • Complete internal and external reporting to ensure compliance with regulatory requirements.
  • Administer compliance requirements timely, including DOL, IRS, FLSA, and state regulations.
  • Complete quarter-end and year-end balancing, year-end documents, and annual filings.
  • Identify opportunities for process improvement in payroll efficiency and compliance.
  • Serve on cross-departmental teams and provide payroll support for project teams.
  • Participate in and lead new procedures/projects due to business changes and legal requirements.

Requirements

  • Bachelor's degree in accounting, Finance, Human Resources, or equivalent experience.
  • 5+ years of experience in payroll processing.
  • Knowledge of global payroll processes, labor laws, taxation, and statutory compliance.
  • Proficiency in payroll and timekeeping systems such as Workday, ADP GlobalView, Celergo, and UKG Kronos.
  • Fluency in English, both verbal and written.
  • Experience working across multiple countries to process payroll.
  • Ability to articulate messages clearly to all levels in the organization.
  • Ability to prioritize workload and provide timely follow-up and resolution.
  • Demonstrated integrity, discretion, and confidentiality.
  • Strong communication and customer service skills.
  • Strong Microsoft Excel skills.
