About the position

As a Senior Payroll Specialist at DBM Global, you will play a crucial role in managing the payroll processes for assigned paygroups and entities. Your primary responsibility will be to ensure that employees are paid accurately and on time, which involves a variety of tasks including data audits, reconciliations, and validation of tax filings. You will be expected to process weekly payrolls for approximately 500-1000+ employees, which includes handling off-cycle payrolls as necessary. In your daily activities, you will review timecards and labor systems for discrepancies, communicate with supervisors regarding any issues, and edit timesheet data as required. You will also be responsible for processing new hires, change requests, and special pay during payroll processing. Preparing reconciliations, validating totals, and finalizing documentation for payroll submission will be key tasks in your role. Additionally, you will print, sort, and ship payroll checks when needed, and calculate final pay in accordance with state and union regulations. Collaboration with the HR department is essential to ensure accurate employee data management. You will also coordinate with third-party vendors for pay garnishments, child support, and lien payments. Your role will require you to resolve payroll discrepancies by collecting and analyzing information, ensuring timely reporting and payment to employees while adhering to union, state, and federal regulations. You will conduct detailed audits of payroll data, create certified payroll reports, and manage monthly union billing remittance. Providing excellent customer service to employees and managers, maintaining process documentation, and suggesting improvements will also be part of your responsibilities.

Responsibilities

  • Process weekly payrolls including off-cycles for assigned paygroups with approximately 500-1000+ employees
  • Daily review of timecard or time and labor system for discrepancies and communicate to Supervisors as needed
  • Review and edit of timesheet data as requested
  • Review and process new hires, change requests and special pay during payroll processing
  • Prepare reconciliations, validate totals and finalize documentation to submit for review for assigned payrolls
  • Print, sort and ship payroll checks when needed
  • Calculate and process final pay according to state and union requirements and regulations
  • Coordinate pay garnishments, child support, lien payments, etc. with 3rd party vendor
  • Work closely with HR department to ensure correct employee data
  • Ensure appropriate record retention, maintain data and files for payroll processing
  • Resolve payroll discrepancies by collecting and analyzing information
  • Ensure timely reporting and payment to employees, while following union, state and federal regulations and company policies
  • Research, analyze and resolve payroll-related problems or questions in a timely manner
  • Handle detail audits of payroll data including reconciliations on a monthly/quarterly basis
  • Create certified payroll reporting and monthly union billing remittance through accurate calculation of hours and applicable union rates and benefits
  • Make suggestions for change and/or improvements, implement changes when necessary
  • Create and distribute payroll related reports as required or requested
  • Provide excellent customer service by assisting employees and managers with questions
  • Maintain process and procedure documentation
  • Other duties or projects as assigned or apparent

Requirements

  • Minimum of 5 years of payroll processing experience
  • High school diploma or equivalent
  • CPP or FPC certification highly preferred
  • Strong knowledge and understanding of Payroll Practices and regulations as they relate to federal and state requirements, garnishments, levies, fines, and fees at the federal, state, and local levels
  • Advanced analytical, critical thinking and problem-solving skills
  • Advanced Excel skills required - ability to create pivot tables, reconciliations, vlookups, etc
  • Union reporting and certified payroll processing experience a plus
  • Proficient with payroll softwares including ADP WorkforceNow
  • Ability to multi-task and prioritize workloads and schedules efficiently
  • Must be a team player and work effectively with all types of diverse personalities
  • Must be highly detail-oriented and very organized with the ability to adapt to a changing environment
  • High degree of accuracy and attention to detail
  • Ability to maintain confidentiality and handle highly sensitive and personal information with sound judgement, tact and discretion
