About the position

The Senior Payroll Specialist at Beacon Hill Staffing Group, LLC is a pivotal role responsible for overseeing the payroll process within a hybrid work environment, requiring three days in the office. This position entails administering the electronic timesheet process, ensuring compliance with the Fair Labor Standards Act (FLSA) classifications and state-specific labor laws. The specialist will be tasked with verifying and reconciling timesheets, which is crucial for accurate payroll processing. Additionally, the role involves reconciling federal, state, and local tax amounts withheld and payments for each payroll cycle, including monthly, quarterly, and annual reconciliations. In this role, the Senior Payroll Specialist will execute payroll payments following documented control processes, performing audits to ensure accuracy before completion. Collaboration with international office management is also a key responsibility, particularly in payroll preparation and multi-currency ledger postings. The specialist will prepare taxable benefits for payroll inclusion, which requires a thorough understanding of payroll regulations and practices. Moreover, the Senior Payroll Specialist will develop training materials and participate in training sessions to enhance the knowledge of internal customers regarding payroll processes. This role is essential in resolving complex payroll-related problems, ensuring that all payroll activities are conducted smoothly and efficiently, while maintaining confidentiality and compliance with applicable laws.

Responsibilities

  • Administer the electronic timesheet process, including verification, reconciliation, and compliance with FLSA classifications and state-specific labor laws.
  • Reconcile federal, state, and local tax amounts withheld and payments for each payroll cycle, including monthly, quarterly, and annual reconciliations.
  • Execute payroll payments following documented control processes, performing audits before completion.
  • Collaborate with international office management on payroll preparation and multi-currency ledger postings, and prepare taxable benefits for payroll inclusion.
  • Develop training materials, participate in training sessions, and resolve complex payroll-related problems for internal customers.

Requirements

  • A Bachelor's Degree in Accounting or related field is required, with a preference for Fundamental or Professional Certification in Payroll.
  • Minimum of six (6) years of experience processing payroll in a complex business environment with multiple payroll schedules and multistate taxation.
  • Strong organizational and prioritization skills with the ability to meet frequent deadlines with high accuracy and urgency.
  • Excellent attention to detail and demonstrated ability to communicate clearly and effectively, both orally and in writing, maintaining confidentiality.
  • Knowledge of basic accounting principles, and ability to track, organize, analyze, and report financial data clearly.
  • Strong proficiency in MS Excel and Word, ability to use cloud-based HR/Payroll suites, report writers, execute queries, prepare journal entries, and reconcile payroll to ledger data.
