About the position

The Sr. Payroll Specialist at AlloSource plays a crucial role in executing the bi-weekly, multi-state payroll process while ensuring compliance with applicable policies. This position is integral to the Human Resources team, focusing on payroll training, maintaining payroll accuracy, and providing direct customer service to employees regarding payroll issues. The role also involves collaboration with various departments to enhance payroll processes and support financial audits.

Responsibilities

  • Independently execute bi-weekly payroll processing with timely approval of Payroll Preview in ADP Workforcenow (WFN).
  • Import periodic timecard files from the Time & Attendance system and upload adjustment files for additional pay data and deductions from HR.
  • Enter and verify accuracy of employee changes in direct deposit and tax forms with each payroll.
  • Enter employee garnishments in ADP WFN and verify accuracy of deductions generated by ADP WGPS.
  • Verify ADP WFN tax rates are correct and up-to-date with current IRS requirements.
  • Deliver in-person presentations for new hires at the monthly New Employee Orientation event.
  • Register hourly employees on ADP timekeeping device at New Employee Orientation or other intervals as needed.
  • Input new hire records for Time & Attendance, Time Off, W4, and Direct Deposit forms.
  • Maintain employee data in ADP time and attendance.
  • Manage the installation and operation of timekeeping devices.
  • Create upload templates to HR for non-scheduled deductions and additional compensation plans.
  • Partner with Human Resources department to implement new earnings and deduction programs in ADP WFN.
  • Collaborate to develop process improvements.
  • Serve as primary payroll contact with ADP WFN Client Account Manager to maintain process schedule and add new earnings, taxes, deductions as necessary.
  • Develop and maintain payroll-related procedures and training guides.
  • Train management on ADP Time & Attendance and Time Off functionality.
  • Maintain payroll-related forms and job aids on ADP WFN employee portal and communicate updates to employees.
  • Provide wage payment information for workers' compensation claims on third-party websites as requested by HR.
  • Maintain and provide all information required for annual projects, including worker's compensation policy annual audit and renewal, Form 990 preparation, and financial audits.
  • Review and track all ADP billing invoices.

Requirements

  • Bachelor's degree or 7 years of payroll system experience in lieu of degree.
  • 3-5 years' experience processing payroll.
  • 3+ years' experience using ADP.
  • Proven ability to implement payroll process improvements.
  • Proficiency in Microsoft Office applications.
  • Ability to communicate in English proficiently (speaking, reading, writing, and comprehension).

Nice-to-haves

  • FPC or CPP Certification.
  • 5+ years progressive payroll experience in a manufacturing type of environment.
  • Prior experience with HRB module with ADP.
  • Accounting Experience.
