About the position

CEI Engineering Associates is seeking a skilled and reliable Senior Payroll Specialist to join our Accounting team. This position is crucial for ensuring the accurate and timely processing of multi-state payroll for our firm, which employs approximately 200 individuals. The ideal candidate will possess extensive knowledge in payroll processing and will be adept at using third-party payroll provider software, such as Paylocity. If you are detail-oriented, accurate in your work, and have a passion for payroll, this role may be an excellent fit for you. As a Senior Payroll Specialist, you will be responsible for processing payroll for our employees across multiple states, ensuring compliance with federal, state, and local payroll regulations. You will handle payroll-related inquiries, resolve discrepancies, and maintain employee records in the payroll system. Collaboration with HR and finance teams will be essential to ensure smooth payroll operations, and you will generate and review payroll reports for accuracy and completeness. Additionally, you will be tasked with filing Worker's Compensation reports as required by state regulations and providing audit support for multiple audits throughout the year. This role requires a high level of organization, communication skills, and the ability to handle confidential information with discretion. Your expertise in payroll practices, laws, and regulations will be vital in maintaining the integrity of our payroll processes.

Responsibilities

  • Process multi-state payroll for approximately 200 employees using Paylocity or another third-party payroll provider's software.
  • Ensure accuracy and compliance with federal, state, and local payroll regulations.
  • Handle payroll-related inquiries and resolve any discrepancies.
  • Maintain and update employee records in Paylocity or another third-party payroll provider's software.
  • Collaborate with HR and finance teams to ensure smooth payroll operations.
  • Generate and review payroll reports for accuracy and completeness.
  • File Worker's Compensation reports monthly, quarterly, or annually, depending on state requirements. Update coverage as needed.
  • Provide audit support for multiple audits during the year.

Requirements

  • B.S. or B.A. degree from an accredited university in a related field.
  • Minimum of 5 plus years experience in payroll in a multi-state environment.
  • In-depth technical and functional knowledge of third-party payroll software, i.e., Paylocity, Workday, UKG.
  • Considerable knowledge of payroll practices, laws, regulations, and procedures for a medium to large company.
  • Strong written and oral communication skills.
  • The ability to handle highly confidential information is essential.
  • Experience with payroll census data and detailed payroll backup is required.
  • Computer literate and highly proficient in using MS Office programs (Excel and Outlook).
  • Excellent organizational and time-management skills and high attention to detail and accuracy.

Nice-to-haves

  • Experience implementing a new payroll system is a plus.
  • Must be highly organized and have experience working and communicating with all levels of management.
  • Experience in Benefits Administration is a plus.
  • Experience working both independently and in a team-oriented, collaborative environment.
