About the position

Davis-Ulmer Sprinkler Co is seeking a Senior Payroll Specialist to join our Corporate Support team in Rochester, NY. This position is crucial for ensuring compliance and accuracy in payroll processing. The Senior Payroll Specialist will be responsible for all activities necessary to process payroll, which includes maintaining related materials, filing tax and union reports, and preparing accounting transactions and documents. The role requires a strong focus on compliance with federal and state laws, as well as the ability to handle sensitive and confidential information effectively. In this role, you will process weekly payrolls, manage lay-offs, terminations, and correction checks as required. You will maintain payroll records and upload necessary documents to our internal SharePoint site. A key responsibility will be to balance union fringes monthly to ensure accuracy with general ledger reconciliation and make payments to the appropriate unions. You will also be tasked with auditing payroll entries for compliance, processing involuntary deductions such as levies and garnishments, and responding to employee inquiries regarding payroll issues. The Senior Payroll Specialist will also be involved in processing new hire employees into the ERP system, documenting and updating procedures, and focusing on year-end balancing and reporting in accordance with corporate standards. Additionally, there may be opportunities to assist in HR or Accounting functions as needed, such as analyzing accounting reports and reconciling payroll accounts. This position is essential for maintaining the integrity of payroll operations and ensuring a smooth payroll process for all employees.

Responsibilities

  • Processes weekly payrolls.
  • Processes lay-off, termination, and correction checks as required.
  • Maintains related payroll records and uploads documents to internal SharePoint site.
  • Balances union fringes monthly to ensure accuracy with GL reconciliation and makes payment to appropriate unions.
  • Records and updates timely any union fringe changes to required template for upload to ERP system.
  • Audits payroll entries for compliance with Federal and State laws.
  • Processes involuntary deductions such as levies, garnishments, and child support.
  • Responds to employee inquiries regarding payroll issues or concerns.
  • Processes new hire employees into ERP system.
  • Documents and updates procedures.
  • Focuses on Year-End balancing and reporting in accordance to Corporate standards.
  • May assist in the HR or Accounting functions as needed, such as analyzation of accounting reports, GL reconciliation of payroll accounts, entering of direct deposits.
  • Performs other related duties as assigned.

Requirements

  • Requires three (3) to five (5) years of payroll experience.
  • Bachelor's degree or equivalent training and education beyond High School.
  • Ability to deal effectively and tactfully with a wide variety of individuals in person, via telephone, and in writing.
  • Effective oral and written communication skills, interpersonal skills, organizational and time management skills.
  • Ability to work well under stress, despite numerous interruptions, with accuracy and attention to detail.
  • Computer skills including Word, Excel, Outlook, Access, Microsoft Dynamics AX.
  • Ability to communicate clearly, both written and orally, with employees in various locations.
  • Ability to work with highly sensitive and confidential information.
  • Effective interpersonal skills, organizational and time management skills with the ability to prioritize and plan work activities to use time efficiently.
  • Moderate to advanced computer skills.
