The Senior Payroll Specialist provides support to the HR and Payroll Department, processes, and employees. This role works closely with the PEO to ensure payroll requests are processed in a timely manner for the bi-weekly pay processing deadline. The Payroll Specialist serves as the point of contact for employees with payroll inquiries related to federal and state withholdings, payroll deductions, promotions, direct deposit, and other pay issues. The Payroll Specialist should be able to handle confidential information in a professional manner. This position requires processing multiple payrolls in multiple states on a bi-weekly basis, reviewing payroll registers and pre-posting for deduction changes on special payments, and working with the Benefits Manager regarding 401(k) Plan level administration, annual audit, and 5500 filing. Additionally, the role involves checking the status of log files in payroll from data feeds, reviewing employee updates in payroll and HR systems, auditing and submitting 401(k) payroll contributions reports after each pay cycle, and processing employment verifications, unemployment insurance claims, and state tax notices. The Senior Payroll Specialist will also work closely with Staff Accountants for payroll funding and benefit costs, ensure compliance with the annual NY Wage Theft Prevention Act, and assist employees with payroll and HR-related questions or concerns. This role may also involve assisting with system conversions and EU payroll in multiple countries as needed.

Responsibilities

  • Process multiple payrolls in multiple states on a bi-weekly basis
  • Review payroll's register and pre-posting for deduction changes on special payments
  • Work with Benefits Manager regarding 401(k) Plan level administration, annual audit, and 5500 filing
  • Work with Benefits Manager regarding Workers Comp - payroll earnings audit
  • Check status of log files in payroll from data feed
  • Review employee updates in payroll and HR system
  • Audit and submit 401(k) payroll contributions report after each pay cycle
  • Work with Legal team regarding setting up new or closing accounts with agencies as needed (SIT, SUI, Locals)
  • Process employment verifications, unemployment insurance claims, and state tax notices
  • Track and process all RIF agreements
  • Work closely with Staff Accountants for payroll funding, benefit costs, etc.
  • Ensure compliance with annual NY Wage Theft Prevention Act
  • Make sure new hire tax statuses and any W-4 allowance changes are correctly processed
  • Work on prior week adjustments for hours submitted late or not approved on time, overpayments, and underpayments
  • Calculate retro pay
  • Work on garnishment related requests
  • Execute payroll adjustments for pay rate changes, leaves of absence, PTO, and unpaid leave
  • Assist employees with payroll and HR related questions or concerns
  • Assist with system conversions
  • Assist with EU payroll in multiple countries as needed
  • Perform miscellaneous duties as assigned
  • Engage in other activities as may be assigned by your manager

Requirements

  • Bachelor's degree or equivalent combination of education and experience
  • SHRM certification strongly preferred
  • 5+ years of Workday Payroll experience required
  • Experience with all components of payroll onboarding
  • Knowledge of Federal and multi-state/local tax filing and reconciliation
  • Experience with HRIS administration implementation
  • Organized and detail oriented
  • Ability to communicate effectively and tactfully with all levels of employees
  • Ability to handle sensitive and confidential information in a professional manner
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Payroll and legal compliance knowledge
  • M&A experience
  • HRIS implementation experience
