About the position

As a Senior Payroll Specialist at Trane Technologies, you will play a crucial role in supporting the organization's payroll functions. Your primary responsibility will be to ensure that payroll is processed accurately and on time, adhering to all relevant government regulations. This position is not just about processing payroll; it also involves contributing to process enhancement efforts. You will help identify best practices within the payroll function, ensuring that the systems in place are efficient and effective as the organization grows. In this role, you will implement, maintain, and review payroll processing systems, ensuring that all payroll transactions—including salaries, benefits, garnishments, taxes, and other deductions—are processed accurately and in a timely manner. You will develop processes and quality assurance programs to support the expanding complexity of payroll, including dual citizen payroll and multiple company payrolls. Your collaboration with various departments, including HR, Corporate Tax, Accounting, and Compliance, will be essential to ensure that all payroll practices comply with federal, state, and local laws. You will also be responsible for preparing and maintaining accurate records and reports of payroll transactions, facilitating audits, and managing payroll vendor relationships. As a Senior Payroll Specialist, you will serve as a backup to other payroll specialists and lead efforts in partnership with the Systems team to enhance payroll systems and processes. Your extensive knowledge of payroll functions, combined with your analytical and problem-solving skills, will be vital in navigating the complexities of payroll management in a dynamic environment.

Responsibilities

  • Implement, maintain, and review payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Develop processes and quality assurance programs to support expanding complexity of payroll, dual citizen payroll, multiple company payrolls, and new business setups.
  • Ensure local taxation setup for all team members in partnership with HR Compliance.
  • Collaborate cross-functionally with HR, Corporate Tax, Accounting, Treasury, Compliance, and other areas of the business as needed.
  • Research & analyze sophisticated matters regarding federal/state compliance.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices in partnership with HR Compliance.
  • Serve as payroll partners' contact for all wage payment, tax, and invoicing items.
  • Support payroll processing team members with daily off-cycle processing.
  • Partner with key stakeholders including Compensation, Accounting, Legal, and external equity vendor to process equity vesting payrolls, ensuring accurate and timely taxation.
  • Execute payroll quality assurance and year-end tax requirements, maximizing the external partnerships and HRIS where possible.
  • Prepare and maintain accurate records and reports of payroll transactions.
  • Facilitate audits by providing records and documentation to auditors.
  • Identify and recommend updates to payroll processing software, systems, and procedures.
  • Assess special tax implications needed for new company setup in multiple countries and all states.
  • Partner with the Compliance team for tax filings, year-end processes, and assessment of new payroll.
  • Manage payroll vendor relationships including budgeting and invoicing.
  • Serve as a payroll lead in partnership with the Systems team for new setups and efficiencies in Payroll System.
  • Maintain strategic partnerships with external tax partners.
  • Serve as the backup to other Payroll Specialist(s) and Senior Payroll Specialist(s).

Requirements

  • Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
  • Experience with Workday and PeopleSoft.
  • Ability to work independently and handle multiple tasks, projects, and deadlines efficiently.
  • Strong analytical and problem-solving skills.
  • Ability to balance risks and make sound decisions.
  • Strong leadership behavior.
  • Proficient with Microsoft Office Suite, especially Excel.
  • Proficient with HRIS and payroll software, preferably Workday and PeopleSoft 9.2.
  • Proven ability to maintain a high level of confidentiality with data and sensitive materials.
  • Knowledge of multi-state payroll laws.
  • Excellent knowledge in implementation, custom reporting, and production problem resolution for Payroll.

Nice-to-haves

  • Equity experience is a plus.
  • Familiarity with public company requirements, including Sarbanes Oxley and key regulations.
