About the position

The Payroll Specialist position at Vaco involves managing complex payroll processes for diverse pay groups, ensuring accuracy and compliance with payroll regulations. The role requires strong analytical skills to resolve discrepancies and oversee payroll-related accounting tasks. The specialist will also be responsible for maintaining payroll data integrity, conducting audits, and supporting employees with tax-related inquiries.

Responsibilities

  • Process complex payrolls for diverse pay groups on varying schedules
  • Manage payroll-related accounting tasks, including journal entries and account reconciliation
  • Analyze and resolve payroll discrepancies, including tax mismatches and W-2 corrections
  • Oversee 401k-related tasks, including biweekly/monthly audits and fund transfers
  • Ensure accuracy of payroll data, including salary adjustments and deductions
  • Conduct regular audits of payroll reports and W-2 error checks
  • Perform quarterly tax reconciliations and variance resolution
  • Spearhead new local and state account registrations
  • Stay current on tax compliance updates and discuss with management
  • Assist with federal/state tax statement reviews and resolutions
  • Support employees with tax elections and special tax calculations
  • Conduct daily tax/settlement reconciliations
  • Serve as primary contact for internal and external payroll inquiries
  • Undertake special projects as assigned

  • Bachelor's degree in Accounting or Finance
  • FPC or CPP Certification preferred
  • Minimum 6 years of progressive payroll experience
  • In-depth knowledge of payroll taxes, best practices, and regulations
  • Proficiency in Workday
  • Experience in law firms or professional service organizations is a plus
  • Advanced MS Excel skills (IF statements, VLOOKUP, PivotTables, etc.)
