We are seeking a Payroll Specialist who will provide essential support to our HR and Payroll Department, ensuring that payroll processes are executed efficiently and accurately. This role involves close collaboration with our Professional Employer Organization (PEO) to guarantee that payroll requests are processed in a timely manner, adhering to our bi-weekly pay processing deadlines. The Payroll Specialist will serve as the primary point of contact for employees regarding payroll inquiries, which may include questions about federal and state withholdings, payroll deductions, promotions, direct deposits, and other pay-related issues. It is crucial for the Payroll Specialist to handle confidential information with the utmost professionalism. The Payroll Specialist will be responsible for processing multiple payrolls across various states on a bi-weekly basis. This includes reviewing payroll registers and pre-posting for deduction changes on special payments, as well as working closely with the Benefits Manager on 401(k) plan administration, annual audits, and 5500 filings. The role also involves checking the status of log files in payroll from data feeds, reviewing employee updates in payroll and HR systems, and auditing and submitting 401(k) payroll contributions reports after each pay cycle. Additionally, the Payroll Specialist will collaborate with the legal team to set up new or close accounts with agencies as needed, process employment verifications, unemployment insurance claims, and state tax notices, and track and process all Reduction in Force (RIF) agreements. The position requires a proactive approach to ensure compliance with the Annual NY Wage Theft Prevention Act and to accurately process new hire tax statuses and W-4 allowance changes. The Payroll Specialist will also handle prior week adjustments for late or unapproved hours, overpayments, underpayments, and calculate retro pay. Other responsibilities include managing garnishment-related requests and executing payroll adjustments for pay rate changes, leaves of absence, PTO, and unpaid leave. The role also involves assisting employees with payroll and HR-related questions or concerns, supporting system conversions, and providing assistance with EU payroll in multiple countries as needed. Miscellaneous duties may be assigned by the manager as required.
