The Senior Payroll Specialist at Shutterstock, Inc. plays a crucial role in the Finance team, focusing on managing and auditing payroll input information, executing payroll transmissions, and resolving payroll-related issues. This position requires expertise in Workday Payroll, as the specialist will ensure that all payroll tasks are completed in compliance with internal policies and regulations. The role involves proactively running, auditing, and validating the accuracy of preliminary pay results through the Workday payroll system, ensuring that employees receive accurate and timely compensation. In this position, the Senior Payroll Specialist will process end-to-end Workday payroll for biweekly employees in the US and Canada, adhering to standard operating procedures and checklists. The specialist will maintain efficient payroll processes that comply with various federal, state, city, provincial, and local legislations. Additionally, the role includes generating manual or on-demand checks as necessary, managing payroll inputs from various internal sources, and overseeing the ROE process for Canadian payroll. The Senior Payroll Specialist will also be responsible for responding to employee inquiries regarding payroll-related questions, ensuring that any payroll issues are escalated and resolved promptly. The specialist will review payroll data for inefficiencies and errors, run audit reports, and prepare payroll preliminary reconciliations. Furthermore, the role involves supporting EMEA/APAC payroll processing with an outside payroll provider via ADP Streamline and liaising with the People Team on employee-related payroll issues such as retroactive results, benefits, leaves of absence, and special circumstances. Collaboration is key in this role, as the Senior Payroll Specialist will partner and cross-train with the International Payroll Team to assist with EMEA/APAC payrolls. The specialist will also assist with year-end projects and audits, utilize ADP SmartCompliance for ancillary services, and create and maintain standard operating procedural documentation for assigned tasks. Facilitating audits by providing necessary records and documentation to auditors and identifying and recommending updates to payroll procedures are also essential responsibilities of this position.

Responsibilities

  • Process end to end Workday payroll for US and Canada biweekly employees following standard operating procedures and checklists
  • Maintain efficient payroll processes that comply with federal, state, city, provincial, and local legislations
  • Generate manual or on-demand checks as necessary (i.e. California terminations)
  • Manage and review all payroll inputs from various internal sources, to ensure accurate payroll processing for multiple payrolls
  • Manage Workday business process notifications payroll tasks
  • Manage the ROE process for Canada payroll
  • Respond to and resolve any employee inquiries regarding payroll-related questions
  • Ensure payroll issues are escalated and resolved promptly
  • Review payroll data for inefficiencies and errors. Run audit reports and prepare payroll preliminary reconciliation
  • Support the EMEA/APAC payroll processing with an outside payroll provider via ADP Streamline
  • Liaise with the People Team, on any employee related payroll issues such as retroactive results, benefits, leaves of absence, PTO and special/ad-hoc circumstances
  • Partner and cross-train with our International Payroll Team to assist with EMEA/APAC payrolls
  • Assist with year-end projects and audits
  • Utilize ADP SmartCompliance for ancillary services such as wage payments, garnishments, and tax filings
  • Create and maintain standard operating procedural documentation for assigned tasks
  • Facilitate audits by providing records and documentation to auditors
  • Identify and recommend updates to payroll procedures

Requirements

  • Workday Payroll Processing experience is a must
  • 5 + years payroll experience in a multi-state and multi-country environment
  • Solid foundation of US and Canada payroll knowledge
  • Understanding of ADP SmartCompliance and ADP Streamline
  • Good organizational and time management skills
  • Attention to detail with a high level of accuracy
  • Ability to communicate effectively
  • Ability to work as a team member
  • Microsoft Office suite experience
