About the position

The Senior Producer Relations Liaison is responsible for processing commissions for contracted and appointed producers who sell HAP's commissionable products, including individual and group fully-insured plans, Medicare supplement, and Medicare Advantage. This role involves coordinating relationships and managing expectations of the appointed producers, ensuring that all commission payments, statements, and administrative fee payouts are processed accurately and timely. The liaison will analyze commission reports to identify any discrepancies in payments, maintain compliance with regulatory requirements, and implement process improvements to enhance operational efficiency. In addition to processing commissions, the Senior Producer Relations Liaison will be tasked with submitting and overseeing trouble tickets with external vendors to resolve issues that may arise. Daily updates to the Commission Call Center Statistical Analysis Report will be required to track agent and system issues, and the liaison will participate in weekly meetings with the Commission Team to provide updates on systems and processes. The role also includes updating the Producer Relations Management system to address critical commission and Medicare administrative fee issues, posting online commission statements, and creating producer log-ins for access to the producer portal. Customer service support for preferred producers is a key aspect of this position, which includes responding to inquiries regarding commissions and reviewing agency commission audits with principal producers. The liaison will support the implementation of mass commission schedule changes and business rules in commission systems, collaborating with IT to ensure accurate deployment of configurations that support monthly operations and new releases of Facets. The role requires a strong understanding of various software and systems, including Salesforce, SAP ICM, MS Access, SQL Server, IKA, Facets, BAAN V, Oracle, and Pega, among others. The Senior Producer Relations Liaison will also be responsible for preparing department reports, assisting with data analysis and management activities, and coordinating special commission projects, spreadsheets, and presentations for the department. This position is integral to maintaining effective vendor relationships and overseeing vendor performance, as well as collaborating with business partners to create and review UAT test scenarios for system upgrades.

Responsibilities

  • Process commissions for contracted/appointed producers selling HAP's commissionable products.

  • Process appropriate files, fall-out reports, and system flows to create monthly commission payments and statements.
  • Analyze commission reports to determine over/underpayment.
  • Maintain compliance requirements and process improvements for the department.
  • Submit and oversee trouble tickets with external vendors to resolve issues.
  • Update the Commission Call Center Statistical Analysis Report daily to track agent and system issues.
  • Attend weekly meetings with the Commission Team to provide updates on systems and processes.
  • Update Producer Relations Management to resolve critical commission and Medicare administrative fee issues.
  • Post online commission statements and create producer log-ins for access to the producer portal.
  • Provide customer service support for preferred producers and respond to inquiries regarding commissions.
  • Review agency commissions audits with the principal producer.

  • Collaborate with IT to ensure accurate deployment of configurations that support monthly operations and new releases of Facets.
  • Utilize knowledge of various software and systems to perform assigned duties.
  • Prepare department reports and assist with data analysis and management activities.
  • Coordinate data needs and develop/run queries and reports as needed.
  • Coordinate and support special commission projects, spreadsheets, and presentations for the department.

Requirements

  • Bachelor's Degree in Management Information Systems, Electronic Engineering, Computer Information Systems, or a related field (equivalent foreign degree accepted).
  • Two years of experience in a related position such as Production Planning Specialist, Production Planner and Buyer, or Material Purchasing Buyer.
  • Experience must include two years of use of Salesforce, SAP ICM, MS Access, SQL Server, IKA, Facets, BAAN V, Oracle, Pega, RFQs/RFPs, Process initiatives conceptualization, and Process flows.
