About the position

The Senior Project Coordinator at Dallas Water Utilities plays a crucial role in managing and coordinating the bond program and various departmental projects. This position involves preparing, reviewing, and coordinating City Council agenda items, ensuring that all necessary documentation is accurate and submitted in a timely manner. The Senior Project Coordinator is responsible for maintaining an updated inventory of capital needs and cost estimates, which is essential for effective planning and responding to inquiries from stakeholders. Additionally, the role requires conducting research on previous agenda items, preparing internal reports, and analyzing goals versus objectives to identify areas for improvement in the agenda process. In this position, the Senior Project Coordinator will also manage open records requests and facilitate special projects as assigned by leadership. This includes overseeing departmental projects related to the renovation of various facilities and coordinating access requests to the City's network. The role requires effective communication with other project coordinators, contractors, and department directors to ensure that all project-related information is shared and that construction and rehabilitation projects are completed as per the proposals. The Senior Project Coordinator will also be responsible for scheduling and facilitating meetings, providing technical guidance, and making recommendations for policy and procedural changes to improve operations. The ideal candidate will possess a strong knowledge of capital improvement project planning, design, and financing, as well as contract administration and project management. They should be able to organize data into reports and presentations, plan and execute capital improvement programs, and effectively communicate both verbally and in writing. Establishing and maintaining effective working relationships is also a key aspect of this role, as collaboration with various stakeholders is essential for success.

Responsibilities

  • Prepares, coordinates, and reviews the department's City Council Agenda items.
  • Maintains and keeps a complete and continuously updated inventory of capital needs and cost estimates.
  • Provides research on previous agenda items and prepares internal reports.
  • Manages and coordinates the Open Records requests distributed by the City's Public Information Office.
  • Coordinates and facilitates special projects as assigned by leadership.
  • Manages departmental projects supporting the renovation of various facilities.
  • Coordinates requests for access to the City's network and identifies areas for streamlining activities.
  • Communicates with other Project Coordinators, contractors, and Directors regarding assigned projects.
  • Schedules and facilitates meetings with City departments and contractors.
  • Identifies needed areas of change in policies and procedures and makes recommendations.

Requirements

  • Bachelor's degree or higher in Business, Public Administration, Finance, Organizational Development or related field.
  • Five (5) years of budget preparation/monitoring, contract preparation/monitoring, or process improvement experience.
  • Valid driver's license with good driving record.

Nice-to-haves

  • Knowledge of planning, design, and financing of capital improvement projects.
  • Knowledge of contract administration and project coordination.
  • Ability to work with statistical and budgetary matters.
