About the position

The Senior Project Coordinator at Bristol Myers Squibb will provide essential project and administrative support to the US Medical Oncology team. This role involves managing diverse and complex administrative tasks, requiring discretion and the ability to handle confidential information. The position is designed for a highly organized individual who can prioritize effectively in a fast-paced environment, ensuring smooth operations and team culture activities.

Responsibilities

  • Perform highly diverse, and often time-sensitive, highly complex administrative functions, projects, and tasks.
  • Address correspondence, manage calendars, schedule meetings and events, maintain distribution lists, and make domestic travel arrangements.
  • Maintain accurate departmental records and manage the onboarding and offboarding of contractors and employees.
  • Independently lead and manage team culture activities.
  • Support logistical planning and onsite execution of team events and meetings.
  • Maintain a positive attitude and high productivity while adapting to change.
  • Anticipate conflicts and problems, taking appropriate steps to produce desired outcomes with minimal assistance.
  • Interface professionally with matrix team members and handle confidential information with discretion.
  • Coordinate with the IT organization to support team technology needs.
  • Support finance processes such as routing statements of works and opening new purchase orders.
  • Anticipate key issues and implement action plans based on changing priorities.
  • Prioritize activities based on departmental objectives and business needs.
  • Maintain professional and technical knowledge by remaining current with BMS continuous learning modules.
  • Provide backup support for other project coordinators and administrative assistants.

Requirements

  • High School degree required; some college or degree desirable.
  • 5 years administrative or comparable experience; prior Project Coordinator experience preferred.
  • Highly motivated, independent thinker with proven problem-solving and analytical skills.
  • Ability to utilize technology effectively to support strategic initiatives and/or processes.
  • Ability to interact professionally with colleagues at all levels of the organization.
  • Must be highly proficient in various BMS systems (Concur Travel/T&E, MS Teams, SAP, eSetup, Conf Room Scheduling, WorkDay, and Sharepoint) and other office tools (Office365, Calendar, eMail and audio/video conferencing).
  • Detail-oriented with excellent oral and written communication skills.
  • Ability to establish priorities, be proactive, reliable, and accountable, and work with minimal supervision.
  • Collaborative team player who builds relationships with team and other departments.
