About the position

The Senior Project Coordinator position at the University of Oklahoma is a full-time role within the Department of Facilities Management, specifically in the Utilities division. This division plays a crucial role in supporting the university's infrastructure, catering to over 28,000 students across approximately 300 buildings on a sprawling 3,000-acre campus. The Senior Project Coordinator will be instrumental in coordinating various projects that impact the university's utilities system, ensuring that all activities align with the department's financial, quality, and service goals. In this role, the Senior Project Coordinator will be responsible for the analysis, redesign, planning, and implementation of processes that support the department's objectives. This includes maintaining departmental goals, objectives, policies, and procedures, as well as developing process improvement plans and assisting with operating budgets. The coordinator will ensure that the department has the necessary infrastructure and resources to perform effectively and efficiently, applying resources appropriately to meet performance goals in a timely manner. The position requires the use of tracking tools to monitor project progress and summarize updates for management. Effective communication is key, as the coordinator will maintain internal and external communication regarding project management efforts and assist in the development and implementation of communication plans. Participation in meetings and committees is also expected, along with performing various duties as needed to fulfill the responsibilities of the position.

Responsibilities

  • Ensure analysis, redesign, planning, and implementing processes are developed and supported to achieve financial, quality, and service goals.
  • Maintain department goals, objectives, policies, and procedures, including process improvement plans and operating budgets.
  • Ensure the department has the necessary infrastructure and resources to perform effectively and efficiently.
  • Use tracking tools for all projects and summarize individual project progress to management.
  • Maintain effective internal and external communication regarding project management efforts.
  • Participate in meetings and committees, assisting with the development and implementation of communication plans.
  • Perform various duties as needed to successfully fulfill the function of the position.

Requirements

  • Bachelor's degree AND 48 months of project management experience.
  • Will accept 48 months of related experience in lieu of the bachelor's degree for a total of 96 months of experience.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Basic data analysis and general understanding of database concepts.
  • Ability to organize and work in stressful situations to meet deadlines.
  • Ability to work independently and as a team member.
  • Detail-oriented with effective verbal and written communication skills.
  • Valid Oklahoma Driver's License or ability to obtain in 30 days.

Nice-to-haves
