About the position

The Senior Secretary position at the South Dakota Department of Health is a vital role that provides high-level administrative support to ensure the smooth operation of the department's various programs and services. This position is responsible for anticipating the needs of the department while managing day-to-day workflows, prioritizing multiple projects, and completing a variety of related duties as assigned. The Senior Secretary plays a crucial role in coordinating travel arrangements, processing travel requests and vouchers, and scheduling meetings, which includes taking notes and preparing necessary information for participants. In addition to travel coordination, the Senior Secretary will handle expenditure processing and manage office supply inventory in accordance with approved procurement processes and fiscal policies. This includes maintaining contracts with external partners and providing multi-line phone coverage. The role also involves data entry and retrieval of often confidential information, as well as providing support for day-to-day operations as assigned. The ideal candidate for this position will possess exceptional customer service skills and have experience working in collaborative team environments. They should demonstrate effective time management and organizational skills, along with a high attention to detail. Strong verbal and written communication abilities are essential, including proficiency in spelling, punctuation, and grammar. Advanced knowledge of the Microsoft Office Suite software is required, as well as a strong work ethic, interpersonal skills, discretion, confidentiality, and a positive attitude. Prior progressively responsible secretarial experience is preferred, along with knowledge of administrative and clerical procedures relevant to public administration.

Responsibilities
