About the position

The Service Administrative Assistant / Mentor at H-E-B is responsible for providing administrative support and specialized duties for a specific area or multiple stores. This role emphasizes superior customer service and requires a commitment to the company's values, focusing on people and quality service. The position involves various administrative tasks, including payroll auditing, managing hiring processes, and maintaining communication within the store.

Responsibilities

  • Oversee Partner payroll hours auditing and resolve issues as needed.
  • Audit payroll reports to ensure accuracy of hours listed.
  • Process Partner profile changes and new hire information in HR/payroll systems.
  • Maintain an accurate filing system for Partners.
  • Coordinate and track Store hiring needs and interviews, process new hires, and schedule training and orientations.
  • Sort incoming bills and distribute accounts receivable appropriately.
  • Maintain proper inventory of Store and office supplies.
  • Schedule service repairs to ensure safe and efficient Store operations.
  • Coordinate meetings, training sessions, and special projects; plan Partner events and recognition programs.
  • Maintain bulletin boards and Store communications.
  • Support management in administrative tasks, including performance appraisal data.
  • Communicate time and attendance issues to management.
  • Compose and type written correspondence for Partners.
  • Provide information about benefits, policies, and job postings to Partners.
  • Order and distribute Partner uniforms.

Requirements

  • Experience in H-E-B Stores and/or in a clerical role (preferred).
  • Working knowledge of H-E-B guidelines, procedures, and benefits.
  • Advanced customer service skills.
  • Strong interpersonal skills.
  • Strong verbal and written communication skills.
  • Time-management and organization skills.
  • PC skills, including MS Office and H-E-B systems.
  • Ability to handle confidential/sensitive information.
  • Ability to manage multiple priorities and shift focus between tasks.
  • Ability to accept and adapt to change.
