About the position

The Service and Office Administrator at C&C Group is responsible for managing service calls, scheduling inspections, and ensuring effective communication between customers and service resources. This role involves administrative tasks such as managing work orders, dispatching technicians, and maintaining customer satisfaction. The administrator will also assist with office management, inventory control, and support the General Manager and sales staff as needed.

Responsibilities

  • Receive and schedule all service calls and system inspections with customers and service resources.
  • Issue and manage open work orders and follow-up work.
  • Handle all service correspondence between the company and customers.
  • Answer calls and attend to office guests.
  • Assign team members to projects and schedule personnel, materials, subcontractors, and equipment based on project needs.
  • Input project location into the system and issue general work order documents.
  • Dispatch technicians and notify customers of service details.
  • Assist Service Manager in managing maintenance contracts.
  • Handle inside over-the-counter sales volume and make routine phone calls to develop contact lists for the sales team.
  • Manage the distribution and handling of purchase orders requested by technicians.
  • Oversee shop management, including repair tracking and cleanliness of the shop.
  • Maintain customer satisfaction by investigating concerns and responding to special requests.
  • Log service work requirements in the job tracking system and generate various reports.
  • Manage shipping and receiving of materials and maintain data in accounting software.
  • Count/manage office inventory and organize warehouse materials as they arrive.
  • Assist with accounts receivable follow-up and initiate collections as needed.

Requirements

  • High school diploma or general education degree required.
  • One-year certificate from college or technical school; or six (6) months to two (2) years of related experience and/or training; or equivalent combination of education and experience desired.
  • Experience with Microsoft Office is required.
  • Ability to work under conditions of frequent interruptions while paying close attention to numerous details.
  • Good verbal communication skills to interact with associates, customers, and vendors in a professional manner.
