About the position

The position involves assisting the Service and Operations Manager in coordinating the activities and goals of the Service and Operations Department. The role requires maintaining company values, service standards, and ensuring that onsite staff meet customer care and efficiency objectives. Responsibilities include hiring service staff, reviewing vendor orders, coordinating travel arrangements, and implementing quality control measures. The position also involves maintaining cleanliness and organization in the logistics warehouse and vehicle fleet, conducting employee orientations, and assisting in the operational planning for large-scale events.

Responsibilities

  • Uphold positive attitude, company values, service standards, and company SOP.
  • Assist in coordinating monthly, weekly, and daily activities and goals of Service and Operations Department under the supervision of the Service and Operations Manager.
  • Ensure onsite staff and logistics achieve and maintain company objectives and standards of customer care, hospitality, and efficiency.
  • Assist in achieving labor cost percentages at each payroll.
  • Assist in hiring all Service Staff and maintaining weekly, monthly, and quarterly pars.
  • Attend all Production Meetings for optimal organization and internal planning.
  • Review vendor orders for accuracy and submit to the Service and Operations Manager for approval.
  • Coordinate all travel arrangements for service staff and operational needs as necessary.
  • Act as customer care representative for all events online.
  • Assist at walk-throughs, tastings, creation of floorplans, timelines, etc.
  • Implement onsite quality control ensuring top-notch food and service.
  • Coordinate monthly vehicle maintenance through specified vendors, meeting all company policies and procedures.
  • Maintain cleanliness and organization of the décor room and logistics warehouse.
  • Ensure cleanliness and proper working conditions of Three Tomatoes Catering's vehicle fleet.
  • Ensure all tastings meet standards for customer care.
  • Implement monthly employee orientation for new and recently hired employees.
  • Supply guidelines, feedback, and direction for all trainings for Service Staff.
  • Create and execute an operational plan for all large scale events to present to the Director of Service and Operations.
  • Assist in onboarding for all new hires in the Service and Operations Department, except Event Managers and Field Chefs.
  • Complete and follow up on all employee-related incidents with proper documentation.
  • Ensure all timesheets are properly calculated based on hours billed to client.
  • Act as Facilities Manager as needed or directed.
  • Complete other tasks/duties as needed.

Requirements

  • Bachelor's Degree preferred.
  • 2+ years specific experience.
  • Excellent communication skills; both verbal and written.
  • Proficiency in hiring, staffing, and onboarding.
  • Familiarity with common hospitality scheduling software.
  • Understanding of labor budgeting and cost control.
  • Understanding of event supplies and logistics cost and requirements.
  • Dynamic and capable of problem solving autonomously.
  • Goal-oriented with strong leadership skills.
  • Ability to take initiative, manage time effectively and efficiently, and possess above-average organizational skills.
  • Ability to work varied schedule including nights and weekends.
  • Full Time; at least 40 hours a week.
