About the position

The Service Center Office Administrator position provides professional administrative support to the Service Center management team; is responsible for organizing and coordinating Service Center office operations and procedures.

Responsibilities

  • Provide administrative support for the Service Center office.
  • General office duties to include answering the main office line, distributing inbound mail and packages, and replenishing office supplies.
  • Coordinate office visits by customers and other IFCO personnel.
  • Manage meeting room and office assignments.
  • Coordinate internal communications.
  • Prepare presentation materials in advance of meetings as needed.
  • Schedule and plan meetings, business lunches/dinners, and travel; responsible for appropriate calendar updates.
  • Maintain and protect issues of privacy and is seen as a role model for others in maintaining confidentiality.
  • Ensure meetings and conferences are properly organized and appointed about audio-visual equipment, travel arrangements, deposits, and expense reports, as well as distributing related materials before the function.
  • Perform a wide variety of documentation assignments including entering data and drafting, editing, revising, and printing correspondence, reports, and other materials.
  • Communicate to the staffing agencies the needs of Service Center temporary staffing.
  • Collaborates with all levels of staff to promote employee engagement.
  • Completes daily, weekly, and monthly reporting including, but not limited to, payroll, time & attendance timekeeping for temporary staffing.
  • Review and approve temporary staffing invoices.
  • Review and approve suppliers' invoices.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies, and verifying receipt of supplies.
  • Maintains office efficiency by planning and implementing office processes to ensure maximum efficiencies and minimal errors.

Requirements

  • High School diploma required.
  • Demonstrated proficiency with a variety of computer software applications, Microsoft Excel, PowerPoint, Outlook, Word, Adobe Pro & Visio.
  • 2+ years of office administration and/or supporting executive.
  • 2+ years of experience working in a manufacturing environment.
  • Payroll experience preferred.

Nice-to-haves

  • Knowledge of SharePoint is strongly preferred.
  • Bilingual with Spanish fluency helpful.
