About the position

The Service Coordinator plays a crucial role in the Client Relationship Team, focusing on scheduling irrigation services and enhancing customer experiences. This in-office position requires excellent customer service skills, problem-solving abilities, and a commitment to maintaining long-term client relationships. The coordinator will manage service appointments, support field technicians, and ensure compliance with service agreements while working in a fast-paced environment.

Responsibilities

  • Answer & screen incoming customer and technician phone calls/emails.
  • Oversee and facilitate the complete process of all service appointments.
  • Manage general service agreements to ensure compliance.
  • Route and provide accurate detailed notes for service technicians via the routing system.
  • Call/email clients to confirm and follow up on service appointments.
  • Support field technicians with customer contact as needed.
  • Maintain contact with service technicians to confirm location and update routing information.
  • Update client portfolio databases with service technician notes in real-time.
  • Ensure jobs are complete and report additional work needed or schedule unfinished appointments.
  • Process each service stop-invoice in real-time and send to customers.
  • Collect payments over the phone and manage accounts receivable.
  • Proactively plan and organize the service schedule weeks in advance.
  • Respond to and resolve client requests under stressful circumstances and know when to escalate issues.
  • Manage inventory and perform additional duties as required.

Requirements

  • Strong organizational skills with attention to detail.
  • Ability to handle pressure and solve problems effectively.
  • Strong communication skills, including professional phone and email etiquette.
  • Advanced customer service skills with strong multi-tasking abilities.
  • Ability to work well both independently and as part of a team.
  • Excellent map/logistic skills and geographical knowledge of the service area.
  • Dependable and reliable with a professional demeanor under stress.
  • Previous experience with Microsoft Office programs (Outlook, Word, Excel).
  • Proficient with computers, including spreadsheets, documents, email, and typing.
  • Experience with QuickBooks Online.
