About the position

The Service/Dispatch Coordinator plays a crucial role in planning, coordinating, and directing operational resources within the company. This position involves significant customer interaction, communication with field technicians, and coordination with project managers to ensure efficient service delivery and customer satisfaction.

Responsibilities

• Coordinate service resources and assign team members to projects.
• Schedule personnel, materials, sub-contractors, and equipment based on project needs and availability.
• Input project location into the system and generate Work Order Documents.
• Dispatch technicians and notify customers regarding service updates.
• Ensure customer interaction and satisfaction throughout the service process.
• Communicate with Project Managers and HVAC Field Technician Supervisors to assign and dispatch technicians.
• Coordinate operations with the Parts Department and Acquisition as necessary.
• Review project paperwork and forward it to Project Administrators.
• Log service start-up and service work requirements in the job tracking system.
• Generate, interpret, and print various assigned reports.
• Flexibility to work overtime or weekends as required.

• Proficiency in Microsoft Office
• Data entry skills
• Administrative support experience
• Dispatching experience
• Effective communication skills in one-on-one and small group situations
• Basic mathematical skills including addition, subtraction, multiplication, and division
• Ability to read and comprehend instructions and correspondence
• Ability to write correspondence
• Ability to apply common sense understanding to carry out instructions in various forms
• Ability to deal with problems involving several concrete variables in standardized situations.
