About the position

The Service Project Coordinator at Bernhard LLC is responsible for managing service calls, scheduling, and maintaining accurate records of all service-related activities. This role involves coordinating with technicians, processing billing, and ensuring outstanding customer service while supporting the overall operations of the business unit.

Responsibilities

  • Monitors technician time tracking on a weekly basis, including obtaining supervisor approval for any timesheet discrepancies.
  • Assists in the new hire onboarding process and processing of IT hardware & permissions requests as necessary.
  • Assists in coding and approvals of vendor invoices.
  • Opens and tracks purchase order requests.
  • Collects associated documentation for processing customer and vendor system set-up.
  • Dispatches and routes multiple service technicians.
  • Verifies job completion and accuracy of technician notes.
  • Handles inbound and outbound phone calls.
  • Schedules service repairs and routine maintenance visits.
  • Processes and issues monthly maintenance invoices.
  • Makes collection calls for past-due invoices on a weekly basis.
  • Provides outstanding customer service to customers.
  • Performs data entry and various administrative tasks.

Requirements

  • Effective verbal and written communication skills.
  • Detail-oriented and able to tackle various ongoing projects in a fast-paced environment.
  • Ability to multitask and perform duties outside of the scope of work when necessary.
  • Versed in the industry and the company's competitors.
