The Service Repair Operations Coordinator will play a crucial role in ensuring the smooth operation of our service department by coordinating various tasks and responsibilities related to service operations, work orders, and front desk support. In this position, you will coordinate with the Regional Manager and Director of Service to schedule and edit operational work orders and big job functions. You will assist in entering and assigning inspection assignments and QwikBids, as well as editing and approving OPM reports. Your role will also involve managing the work order process from start to finish, handling incoming service-related phone calls, dispatching service calls, and maintaining an active phone log for all repair/service calls received. You will be responsible for creating accurate work orders, preparing invoices, and maintaining a current work order log. Additionally, you will act as front office support, assisting personnel with various office-related needs, greeting visitors, and managing incoming correspondence. The ideal candidate will have a strong knowledge of administrative and clerical procedures, proficiency in MS Office, and excellent written and interpersonal communication skills. Attention to detail and problem-solving skills are essential, as well as the ability to lift approximately 15-20 lbs. Previous experience in a related position and a high school diploma or GED are required, with experience in the construction or roofing industry preferred. Responsibilities

  • Coordinate with Regional Manager and Director of Service in scheduling and editing operational Work Order and Big Job functions.
  • Assist in entering and assigning Inspection assignments in FCS and Smartsheets.
  • Assist in entering and assigning QwikBids in FCS and Smartsheets.
  • Assist in editing and approving OPM reports.
  • Assist in FCS Big Job set up.
  • Assist in FSC Warranty Upload and Secure Roof Scheduling.
  • Coordinate work order process from start to finish.
  • Handle all incoming service-related phone calls and dispatch service calls when necessary.
  • Maintain an active and current phone log for all repair/service calls received.
  • Input information and create accurate work orders based on service calls.
  • Obtain cost inquiries for pre-invoice pricing when work orders are complete.
  • Prepare invoices for the work order.
  • Pull material costs from the work order and yellow inventory spreadsheets and enter this information into the appropriate job cost report.
  • Maintain an active/current work order log.
  • Create work orders for preventative maintenance contracts as necessary.
  • Build familiarity with general roofing terminology to improve clarity of descriptions on invoices.
  • Act as a back-up and take messages as applicable to scheduling of work for repair and maintenance jobs.
  • Act as front office support to all personnel within the Sutter Roofing office, assisting with packaging/mailing needs, faxes, or any office-related support needs as necessary.
  • Open all mail and incoming correspondence, greet all visitors, and announce all visitors.
  • Responsible for all front desk incoming phone calls, transferring calls as necessary to office personnel and taking messages/coordinate actions related to phone calls.
  • Greet job applicants and ensure they are provided with a job application and directions on filling out the application.
  • Improve upon front desk and office support operations as necessary on a daily basis to ensure smooth workflow within the Sutter Roofing office.

Requirements
