About the position

The Service Writer plays a crucial role in the Service Department by assisting the Service Manager with administrative tasks and ensuring smooth operations. This position involves significant customer interaction, managing paperwork flow, and supporting technicians and parts personnel. The Service Writer is responsible for scheduling work, maintaining customer satisfaction, and ensuring compliance with company policies.

Responsibilities

  • Ensures adherence to company values and promotes employee recognition programs.
  • Handles inbound customer calls and greets walk-in customers, addressing their needs.
  • Communicates with customers regarding work instructions, repair status, and additional work required, while upselling services as appropriate.
  • Organizes job scheduling for efficient department performance and ensures timely completion of paperwork, including warranty documentation.
  • Assists technicians with paperwork, computer usage, and warranty issues, and provides local technical assistance as needed.
  • Manages trucking operations, including scheduling pickups and deliveries, and prioritizing wash bay work.
  • Helps maintain high customer satisfaction levels through surveys and direct interactions, resolving any issues non-confrontationally.
  • Assists the Service Manager in staffing for weekday, weekend, and after-hours support, and helps with facility maintenance.
  • Ensures cleanliness and safety in shop and office areas, and assists in tool and shop item repairs and purchases.
  • Stays updated on new products and vendor requirements, ensuring effective communication with all personnel.

Requirements

  • Strong customer service skills and experience in a customer-facing role.
  • Excellent communication skills, both verbal and written.
  • Ability to organize and manage multiple tasks efficiently.
  • Familiarity with warranty processes and documentation.
  • Basic technical knowledge related to service operations.
