About the position

The Services Operations Coordinator plays a critical role in ensuring the smooth execution of service delivery operations within the organization. This role involves managing the review and consistency of Statements of Work (SOWs), updating project metrics, facilitating document signatures, setting up projects, and maintaining an accurate services pipeline. The Coordinator collaborates closely with the sales and internal service teams to support streamlined operational processes and ensure alignment with organizational goals.

Responsibilities

  • Review Statements of Work (SOWs) to ensure there are no contradictions and that they adhere to organizational standards and templates.
  • Ensure that SOWs are properly formatted and free of grammatical errors, maintaining a high standard of professionalism in documentation.
  • Accurately enter the financial amounts and other relevant metrics from signed SOWs into the CRM or project management system.
  • Maintain precise and up-to-date records of opportunities, ensuring consistency and reliability for reporting purposes.
  • Facilitate the process of sending SOWs for signatures to clients and internal stakeholders, ensuring timely follow-ups and completion.
  • Ensure all signed SOWs are properly documented and stored for easy retrieval and future reference.
  • Set up new projects in the project management system once SOWs are signed, ensuring that all necessary project details are captured and accurately recorded.
  • Collaborate with relevant internal teams to ensure that project details are accurately inputted and the project is ready for execution.
  • Work closely with the sales team to keep the services pipeline updated, accurately reflecting current and future project statuses.
  • Assist in maintaining visibility into the service pipeline to support forecasting and planning for upcoming service delivery needs.
  • Support collaboration between sales, project management, and other departments to ensure smooth operational processes.
  • Provide operational support to various internal teams to facilitate the efficient execution of service delivery tasks.

Requirements

  • Bachelor's degree in Business Administration, Operations Management, Project Management, or a related field and/or five years equivalent experience.
  • Proven experience in operations coordination, project management, or a similar role, preferably within a service-oriented environment.
  • Keen focus on detail, particularly in reviewing documents for consistency and formatting.
  • Strong organizational and multitasking abilities, capable of managing multiple priorities effectively.
  • Excellent written and verbal communication skills for effective internal coordination and documentation.
  • Proficient in using project management software, CRM (NetSuite highly preferred) systems, and other relevant tools.
  • Ability to interpret data to support operational decisions and improve processes.
  • Familiarity with industry-specific service delivery standards and practices.
  • Experience with quality management and document review.
  • Proficiency in using data analysis tools for tracking and reporting service metrics.
  • Flexibility to adapt to a fast-paced and dynamic work environment.
