About the position

The Executive Assistant position is designed to provide exceptional support to the Chief Financial Officer (CFO) and the Vice President of Human Resources (VP of HR). This role is critical in ensuring that the executives can focus on their strategic responsibilities while the assistant manages their day-to-day administrative tasks. The ideal candidate will be expected to handle a variety of tasks that require a high level of professionalism and discretion, as they will be interfacing with colleagues, executives, managers, and employees at all levels of the organization. Key responsibilities include managing the calendars of the CFO and VP of HR, which involves scheduling appointments, coordinating catering, making room reservations, and ensuring that all necessary video equipment is available for meetings. The Executive Assistant will also be responsible for distributing mail, preparing daily task lists, and maintaining confidential files for various departments. Additionally, the role requires phone coverage, composing and typing correspondence, and managing travel arrangements for senior executives, including coordinating hotel reservations. The position demands a proactive approach to managing the status of various projects and providing updates as needed. The successful candidate will need to demonstrate advanced knowledge of the entire 2011 MS Office Suite, as proficiency in these tools will be tested. Responsibilities

Requirements

  • A four-year college degree (based on the client's policy)
  • Advanced knowledge of the entire 2011 MS Office Suite (will be tested)
