About the position

The Education Project Coordinator for Baby Raven Reads will work under the direct supervision of the Assistant Director of Education, providing essential administrative support for the Baby Raven Reads grant program. This role involves active participation in program planning alongside a dedicated team, requiring independent judgment to effectively plan, prioritize, and organize a diverse workload. The coordinator will be instrumental in recommending changes related to program practices or procedures to enhance the effectiveness of the initiative. In this position, the coordinator will collaborate with a team to plan, design, and implement family events across Southeast Alaskan communities, including Juneau. Responsibilities include maintaining files, data, and reports, as well as assisting in the development of administrative procedures for institutional record-keeping. The coordinator will also be responsible for selecting and training Community Liaisons, drafting contracts, tracking payments for program contractors, and making program purchases while adhering to all documentation procedures. The coordinator will lead bi-monthly telephonic meetings with Community Liaisons, monitor their progress in creating Community Raven Reading Teams, and assist them in ensuring well-attended monthly family night activities and parent caregiver training sessions. Additionally, the coordinator will collect and verify attendance data, manage enrollment data, and assist in the distribution and tracking of books and literacy kits. Effective communication with a diverse group of external callers and visitors, as well as internal contacts at all organizational levels, is crucial. The coordinator will act as a liaison with other departments and outside agencies, handling confidential and non-routine information and explaining policies as necessary. Other duties may be assigned as required.

Responsibilities

  • Act as part of a team/working group to plan, design, and implement family events in Southeast Alaskan communities including Juneau.
  • Maintain files, data, and reports and assist with the development of administrative procedures for institutional record keeping.
  • Select and train Community Liaisons when applicable with the Baby Raven Reads team.
  • Draft contracts and track payments for program contractors.
  • Make program purchases following all documentation procedures.
  • Lead bi-monthly telephonic meetings with the project's Community Liaisons when applicable.
  • Monitor and assist Liaisons with the creation of Community Raven Reading Teams.
  • Assist Community Liaisons to ensure well-attended monthly family night activities and parent caregiver trainings in all communities under the project.
  • Collect attendance data and verify all data entered into the project's secure relational database when applicable.
  • Assist with the creation and development of outreach to families and communities in the promotion of Baby Raven Reads School Readiness and Early Childhood Literacy programs.
  • Manage enrollment data, address changes, and track shipping.
  • Assist in the distribution and tracking data of books and literacy kits.
  • Communicate diplomatically with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.
  • Act as a liaison with other departments and outside agencies in support of the Baby Raven Reads program.

Requirements

  • Associate's degree (or equivalent experience).
  • One year of prior work experience either in a classroom or in another early childhood educational environment.
  • Flexible working with an ever-changing work environment.
  • Excellent verbal, written, and interpersonal communication skills.
  • Excellent networking skills.
  • Ability to work well on own initiative and within a team.
  • Proficient in computer applications, including word processors, spreadsheets, database software, and online survey applications.
  • Highly organized, self-motivated, and attentive to detail.
  • Competent in project planning, project implementation, and monitoring project objectives.
  • Knowledge of program planning for early childhood classroom experience.
  • A strong understanding of Indigenous culture and perspective.
