About the position

The Shipping Clerk at International Flavors & Fragrances (IFF) plays a crucial role in processing and coordinating domestic, import, and export shipments in compliance with regulatory requirements. This position is essential for ensuring the smooth movement of both materials and information within the supply chain. The Shipping Clerk will be responsible for understanding and applying the fundamentals of imports and exports, which includes communicating order information to brokers, preparing necessary documentation, and following the customs clearance process. The role requires a proactive approach to managing shipments and ensuring that all documentation is accurate and complete. In this position, the Shipping Clerk will communicate product delivery information and prepare appropriate documentation, including import licenses. They will also be responsible for requesting the shipment of materials when available and ensuring that all received documents are checked for discrepancies. The Shipping Clerk will interact with the warehouse to ensure that products are packaged and repackaged according to customer needs, adhering to all company policies and quality improvement programs such as MS ISO 9001, GMP, HACCP, ISO 14001, and OHSAS 18001. Additionally, the Shipping Clerk will provide freight cost information for all shipments, act as the first approver for carrier/vendor invoices, and create purchase requisitions for documentation and transportation costs. The role may also involve other duties as assigned by supervision, making it a dynamic position within the logistics and supply chain team.

Responsibilities

  • Understand and apply the fundamentals of imports and exports.
  • Communicate order information to Broker who arranges the documentation and releases to the Customer.
  • Communicate product delivery information.
  • Prepare appropriate documentation including import licenses.
  • Request shipment of material when available.
  • Follow the steps to receive & check documents, ensure no discrepancy; may have to request revised documents.
  • Follow the customs clearance process.
  • Follow product through transportation and into warehouse.
  • Receive shipment documentation, validate information, and prepare necessary paperwork.
  • Interact with warehouse for appropriate packaging/repackaging for meeting customer needs.
  • Adhere to all company policies, rules and regulations and committed to company's quality and continuous improvement programs such as MS ISO 9001, GMP, HACCP, ISO 14001 and OHSAS 18001.
  • Provide the freight costs within the organization for all shipments.
  • Be first Approver for carrier/vendor invoices for your shipping point (actual cost vs invoice cost).
  • Create purchase requisitions for documentation and transportation costs.
  • Any other duties that may be assigned from time to time by supervision.

Requirements

  • Associate's degree in Business Administration, Supply Chain or Logistics.
  • Certificate or Training in Logistics & Supply Chain.
  • +1 years' experience in Logistics and Supply Chain related work.
  • Excellent knowledge of MS Office tools and automated systems.
  • Fluent business English communication skills.
  • Highly collaborative and team player.
  • Proactive thinking.
