About the position

The Short-Term Worker in the Purchasing Services Pool at Chaffey College is a vital role designed to assist with various purchasing activities within the department. This position is intended for individuals who are available to work on an on-call basis, with scheduled days and hours that may vary. The standard operating hours for the Purchasing Services department are Monday through Friday, from 7:30 AM to 4:30 PM. The primary responsibility of this role is to support the procurement process by negotiating purchases and prices with vendors, ensuring compliance with established guidelines, and maintaining professional relationships with vendors. In this role, the worker will utilize customer service skills to interact directly with end-users, helping to develop and prepare specifications and bid documents. This includes ensuring the proper delivery of goods and services, coordinating the return of goods, and creating purchase orders. The worker will also assist in monitoring vendor compliance with purchase order or bid terms, documenting delivery response times, and evaluating the quality of goods and services provided. Additionally, the position involves data entry related to fixed assets and processing change orders and notices as needed. The Short-Term Worker will be expected to use computers for research and to place orders through various electronic means. A solid understanding of applicable procurement legal codes and regulations is essential, as is the ability to represent the District professionally to the community, vendors, and contractors. The role may also involve performing related duties as necessary to support the Purchasing Services department.

Responsibilities

  • Assist with negotiating purchases and prices with vendors according to established guidelines.
  • Obtain informal written and verbal quotes from vendors.
  • Maintain professional working relationships with vendors.
  • Utilize customer service skills to work directly with end-users to develop and prepare specifications and bid documents.
  • Ensure proper delivery of goods/services and coordinate the return of goods.
  • Create purchase orders as needed.
  • Monitor vendors for compliance with purchase order or bid terms and document delivery response time, quality of goods and services, and performance.
  • Assist with fixed asset data entry.
  • Process change orders, notices, and other documents as needed.
  • Use computers to research information and place orders using the Internet and other electronic means.
  • Understand and apply applicable procurement legal codes and regulations.
  • Act in a professional manner representing the District to the community, vendors, and contractors.
  • Perform related duties as needed.

Requirements

  • Possession of a valid California Driver's License.
  • Ability to perform basic methods of purchasing, accounting, office procedures, and arithmetic.
  • Ability to communicate effectively in English both written and verbal, and use the telephone effectively.
  • Ability to type and operate standard office equipment, including computer skills necessary to operate integrated purchasing software, word processing/spreadsheet solutions, and report programs.
  • Ability to apply current laws, regulations, and practices applicable to procurement at California community colleges.
  • Any combination of education, training, and experience that provides the required knowledge, skills, and abilities.
  • Clear evidence of sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students.
  • Some lifting up to 25 pounds.
