About the position

The Project Coordinator is a pivotal role within our team, acting as the quarterback for coordinating projects between customers, sales, production team members, and vendors to ensure the flawless execution of Sales Orders. This position is particularly suited for an experienced sign and graphics professional who is self-motivated and possesses excellent interpersonal skills. The ideal candidate will prioritize delivering an exceptional customer experience and will be highly organized, detail-oriented, and capable of managing multiple projects in a fast-paced environment. In this role, the Project Coordinator will engage directly with clients to ascertain and validate project scopes, assist in quoting customer projects, and collaborate with the General Manager to enhance supplier capabilities while reducing costs. The successful candidate will demonstrate confidence in customer interactions, showcasing their professional abilities and creativity while ensuring that clients are kept informed throughout the fulfillment process. This position also serves as a stepping stone towards the responsibilities of a site General Manager, providing opportunities for career advancement within the company. The Project Coordinator will be responsible for establishing strong relationships with customers, gathering necessary project information, and identifying opportunities for upselling additional products and services. They will communicate and coordinate key project data with internal departments and external vendors to meet project specifications and timelines. Additionally, the coordinator will assist in estimating project costs, produce and finalize project folders, complete reconciliation reports, and maintain accurate information in the ShopVox Project Management system. This role requires a proactive approach to developing resources and systems that enhance workflow efficiency and address any complaints with management.

Responsibilities

  • Work with customers to determine project needs and offer solution options.
  • Establish strong relationships with customers while gathering necessary project information and upselling additional products and services.
  • Communicate and coordinate key project data with internal departments and external vendors to meet project specifications and timing.
  • Assist with estimating project costs in conjunction with the GM, involving material vendors, internal production teams, and outside contractors.
  • Provide customers with timely and accurate project pricing and timing estimates using existing pricing guidance on standardized products.
  • Produce and finalize project folders prior to submission to the production department.
  • Complete reconciliation reports and enter data into the reconciliation worksheet.
  • Assist in preparing and analyzing key monthly customer opportunity reporting data and recommend improvement actions.
  • Document processes and procedures of the role and develop those not already documented for inclusion in the Business Manual.
  • Maintain accurate and timely information in the ShopVox Project Management system.
  • Research and develop resources/systems that create timely and efficient workflows.
  • Audit and communicate complaints with management/ownership.

Requirements

  • High School Diploma or equivalent.
  • Valid Driver's License.
  • 1 to 3 years of experience in an office or customer service position.
  • Excellent communication skills in fluent English; ability to speak a second language is a plus but not required.
  • Ability to exercise integrity, resolve conflict, and build rapport.
  • Ability to think and reason strategically, logically, and tactically.
  • Comprehensive computer skills including software (Windows, Office, database experience), hardware, programs, and applications.
  • Design capabilities preferred but not necessary.
