About the position

The Site Administrative Assistant plays a crucial role in supporting the Site Manager and the site team by managing all administrative tasks at the construction site. This position is focused on maintaining an organized office environment, implementing approved business processes, and optimizing site activities to enhance efficiency. The Site Administrator is responsible for overseeing various administrative functions, ensuring effective communication, and facilitating the onboarding of new employees.

Responsibilities

  • Collect, organize, and administrate reports regarding progress.
  • Support with the creation of progress, site, project, and management presentations.
  • Attend meetings; take and distribute minutes of meetings and track the progress of defined action items.
  • Perform/coordinate site onboarding and provide guidance to new employees.
  • Track site personnel timesheets and working hours, maintaining records with tables and charts.
  • Support the site team with various reporting needs as required.
  • Implement business processes and engage in continuous improvement of procedures.
  • Identify and eliminate waste or non-added value activities.
  • Maintain records/databases/filing systems/archives in electronic and/or hard copy format.
  • Perform general administrative activities and provide backup support for others.
  • Support/arrange the translation of documents.
  • Keep an updated record of delivery situations and administrate living quarters.
  • Administrate site cars and local transportation, as well as site offices and facilities.
  • Control office material supplies and availability of Personal Protective Equipment (PPE).
  • Coordinate travel arrangements for site personnel and visitors.

Requirements

  • Minimum 5 years of proven experience in administrative tasks, preferably in a construction or project management environment.
  • Excellent written and verbal communication skills to effectively interact with team members, suppliers, and contractors.
  • Strong organizational abilities to collect, organize, and maintain records, reports, and documentation accurately.
  • High level of attention to detail to ensure accuracy in tracking personnel timesheets and other administrative tasks.
  • Demonstrated capability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.

  • Competitive hourly pay of $25 - $30 per hour
  • Long-term contract duration of up to 18 months
