About the position

Kimley-Horn is seeking a dedicated Project Coordinator to join our Vero Beach, Florida office. This role is integral to our project management team, providing proactive and detail-oriented support throughout the project production cycle. The Project Coordinator will work closely with project managers, engineers, and other staff to ensure that all aspects of project coordination are handled efficiently and effectively. This position is not remote, emphasizing the importance of in-person collaboration and communication within our team and with our clients. The Project Coordinator will manage the full project site and building development cycle for national clients, interfacing directly with clients to understand their project expectations, schedules, and the permitting process. This role requires a strong ability to coordinate with various stakeholders, including contractors, architects, and local and national partners, to provide technical support and ensure that all project requirements are met. The coordinator will be responsible for processing and expediting site plans, building applications, and other necessary documentation at state, local, and federal levels. In addition to managing project submittals to various jurisdictional agencies and utilities, the Project Coordinator will conduct research on agency requirements, building codes, and zoning regulations. Tracking all tasks and client deliverables is crucial, as is facilitating client communications through proposals, letters, contracts, and transmittals. The role also involves compiling and assembling submittals, coordinating large production jobs, and preparing contracts. Weekly trackers or job status communications for clients will be prepared to keep all parties informed of project progress. The Project Coordinator will also create, proofread, edit, format, and finalize project-related documents and reports, ensuring that all materials are polished and professional.

Responsibilities

  • Managing full project site and building development cycle for national clients
  • Interfacing with clients regarding project expectations, schedule, permitting process, etc.
  • Coordinating with and providing technical support to staff, contractors, architects, and additional partners both locally and nationally
  • Site plan, building, state/local, and federal application processing and expediting
  • Coordinating project submittals to various jurisdictional agencies, Cities, utilities, etc.
  • Researching agency requirements, building codes, zoning regulations, etc.
  • Tracking of all tasks and client deliverable documents
  • Facilitating client communications (proposals, letters, contracts, transmittals, etc.)
  • Compiling and assembling submittals; coordinating large production jobs, printing, and binding
  • Preparing contracts
  • Preparing weekly trackers or job status communications for clients
  • Creating, proofreading, editing, formatting, and finalizing project-related documents and reports

Requirements

  • 3-5+ years of experience coordinating/expediting commercial development projects
  • Interpretation of civils/site and architectural plans preferred
  • Excellent verbal and written communication skills
  • Highly proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint)
  • Proficient in Adobe Professional and project tracking software's (Smartsheets, Lucernex, etc.)
  • Strong proofing, formatting and editing skills
  • Positive, client-oriented, take-charge attitude
  • Highly organized and detail-oriented
  • Capable of managing and balancing multiple tasks/priorities and performing well under deadline pressure
  • Ability to work well with various types of people and in a team environment
  • Ability to travel
