The Baltimore site of MITRE plays a crucial role in enhancing our nation's healthcare ecosystem. It serves as a collaboration center for MITRE and its regional sponsors, including the Centers for Medicare and Medicaid Services (CMS). The Site Operations Team, part of the Health FFRDC Enterprise Program Management Office (EPMO), is responsible for the maintenance and operations of this strategic location. We work collaboratively across MITRE and with external partners to meet the needs of our people, sponsors, and organization, focusing on areas such as security, facilities, employee engagement, and community outreach. We are currently seeking a dynamic administrative professional to join our team. This role involves coordinating meetings and events, overseeing office services and supply management, and maintaining a welcoming and functional physical environment. The successful candidate will ensure that our staff and visitors feel supported and valued at the Baltimore site, contributing to a positive workplace atmosphere.

Responsibilities

  • Coordinate and support both internal and external meetings, including high-visibility sponsor meetings and gatherings of 300+ guests, managing all related logistics.
  • Plan and execute a variety of events and initiatives, including semi-annual employee appreciation events, networking functions, social gatherings, and charitable activities.
  • Serve as point of contact for all site purchasing, including managing the site's office supply and pantry inventory, paying vendor invoices, and reconciling purchases as required by MITRE Finance.
  • Proactively care for the physical office environment by performing regular conference room, copy room, pantry, and reservable workspace checks. Ensure all spaces are orderly and well-stocked, with functional technology.
  • Field ad-hoc support requests from employees seeking assistance with office supplies, printers, shared workspace equipment and furniture, conference room technology, etc.
  • Serve as a supplemental and backup receptionist, covering the front desk for regularly scheduled breaks and as needed when the primary receptionist/security guard is out of the office. Duties include issuing visitor badges, monitoring security cameras, receiving mail and packages, and answering phone calls.
  • Greet new employees and assist with their onboarding process.
  • Participate in site emergency preparedness exercises, including fire and first aid drills, including CPR and AED trainings.

Requirements

  • Typically requires a minimum of 2 - 4 years of related experience with a High School Diploma or equivalent in education, or 2 years' experience and an Associates' degree, or equivalent.
  • Facility with Office 365 (Outlook, Teams, SharePoint, Excel, Word).
  • Persistent approach to follow-up on tasks, with superb attention to detail.
  • Strong self-organization, problem-solving, and time management skills, with considerable emphasis on self-initiation and independent decision making.
  • Ability to effectively manage multiple tasks simultaneously and manage competing priorities with minimum supervision under deadline pressure in complex, fast-paced environments.
  • Excellent written and oral communication skills—able to communicate clearly and tactfully with individuals at all levels.
  • Stand-out interpersonal skills to build strong networks and highly effective relationships with team members, business leaders, and sponsors.
  • Discretion to handle sensitive or close-hold information.
  • Able to work onsite 4 days/week at MITRE Baltimore in Windsor Mill, MD.
  • Willingness to occasionally travel to McLean, Virginia for department events.
