About the position

The Site Operations Coordinator at VNA Health at Home plays a crucial role in ensuring the smooth operation of the organization's site locations. This position encompasses a variety of functions including customer and clinical support, human resources assistance, facilities management, and employee engagement activities. The coordinator is responsible for maintaining compliance with legal and regulatory requirements, managing onboarding processes, and supporting clinical education needs, all while fostering a positive work environment that aligns with the organization's mission of compassion and excellence.

Responsibilities

  • Perform a wide range of functions critical to the success of the organization's site locations, including customer and clinical support.
  • Provide human resources support, including talent acquisition onboarding and employee engagement activities.
  • Manage 3rd party records requests and facilities management.
  • Support reports management and data tracking pertinent to clinical care and daily site operations.
  • Answer and direct phone calls promptly and greet external and internal customers in a friendly manner.
  • Facilitate various Employee Engagement activities to drive engagement and retention of agency personnel.
  • Manage and oversee all required legal and regulatory postings in the agency office.
  • Perform various administrative support functions for site leadership, including handling billing denials and vendor relationships.
  • Support clinical education processes and manage clinical resources/materials.
  • Conduct Day One New Hire Orientation for new employees to review organizational expectations and culture.
  • Manage new hire access forms and order required technological equipment.
  • Track and monitor recruitment and retention activities as directed.
  • Complete documentation to add, change, or delete employee information and act as a liaison with Corporate Human Resources.
  • Maintain accurate digital employee personnel files and oversee credentialing needs.

Requirements

  • High School diploma or equivalent.
  • Minimum of two years customer service experience required.
  • One year of medical office related experience preferred.
  • Two years of payroll related experience preferred.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills.
  • Detail oriented with strong organizational and time management skills.
