Our team is passionate about delivering exceptional service, and we're looking for a dynamic and proactive Office Administrator to support our growing operations. In this role, you'll be the backbone of our business, ensuring everything from client communication to field worker coordination is handled efficiently and with a personal touch. If you have experience setting up CRMs, managing a small service industry, and ideally, have knowledge of the horticulture industry, we want to hear from you. Responsibilities

  • Serve as the primary point of contact for clients, managing inquiries, scheduling, and follow-ups with a professional and friendly demeanor.
  • Ensure effective communication and coordination with field service employees, keeping projects on track and addressing any issues that arise.
  • Set up and maintain CRM systems to streamline client management, project tracking, and overall office efficiency.
  • Handle invoicing, billing, and coordination with external bookkeeping services to ensure financial processes are accurate and timely.
  • Oversee payroll processes, ensuring that all employees are paid accurately and on time.
  • Manage office and field supplies, ensuring that all necessary materials are available for smooth operations.
  • Take a proactive approach to identifying and resolving operational challenges, always with a sense of humor and a positive attitude.

Requirements

  • Proven experience in an office administration or operations role, preferably with experience in a service industry.
  • Strong organizational skills with an eye for detail and a passion for efficiency.
  • Experience working with field service employees, ensuring smooth communication and coordination.
  • Proficiency in setting up and managing CRM systems.
  • Excellent communication skills, both written and verbal.
  • A proactive, problem-solving attitude with a sense of humor.
  • Familiarity with the horticulture industry is a plus.
