About the position

The Social and Meeting Connections Event Planning Manager at Grand Hyatt Vail is responsible for managing local sales bookings, wedding room blocks, and Rooms Only Group bookings. This role serves as a liaison between clients and the hotel's operational departments, ensuring high-level execution of events by coordinating food and beverage, room setups, and audio/visual needs. The manager will also oversee event setups, conduct site inspections, and maintain relationships with vendors to enhance client satisfaction and hotel standards.

Responsibilities

  • Work closely with clients to understand their event needs.
  • Plan events across various market segments including catering, charity, corporate events, socials, and weddings.
  • Aim to exceed department revenue and profitability objectives.
  • Coordinate with clients and the Operations Team to ensure effective event execution.
  • Arrange and run client meetings, menu tastings, and planning appointments.
  • Conduct thorough site inspections to ensure booked spaces meet client expectations.
  • Monitor client budgets while seeking additional revenue opportunities.
  • Coordinate with internal departments for seamless event execution.
  • Maintain good relationships with vendors and venue owners.
  • Meet and greet in-house meeting planners to ensure total client service.
  • Oversee event setups prior to functions.
  • Conduct pre and post-event analyses to improve future events.
  • Carry out other duties as assigned by senior management.

Requirements

  • A minimum of 2-3 years of hotel event sales/event planning experience or comparable experience.
  • Understanding of the luxury market and a strong desire for service excellence.
  • Refined verbal and written communication skills, along with polished presentation skills.
  • High-level commitment to service and experience excellence, with teamwork and leadership skills.
  • Proficiency in general computer knowledge, including event planning software.
  • Detail-oriented and organized, able to handle a fast-paced environment.
  • Strong food and beverage knowledge to customize offerings for clients.

Nice-to-haves

  • 1-3 years of hotel event sales/event planning experience preferred.
  • Completion of Event Management trainee program is preferred.
  • Completion of PSS or equivalent training is preferred.
