About the position

Moss is currently seeking an experienced Project Administrator/Administrative Assistant for our solar garden in Okeechobee, FL. The Solar Project Administrator/Administrative Assistant plays an integral role in our project management teams. This individual will be responsible for the day-to-day administrative support functions. We are seeking someone with high energy and great interpersonal skills to join our team who can multi-task and work in a fun and very fast-paced environment. The position requires a proactive approach to managing various administrative tasks and supporting the project team effectively. In this role, you will serve as a liaison for the HR and Accounting departments, ensuring smooth communication and coordination between these functions and the project team. You will be responsible for onboarding new hires, conducting urinalysis tests, processing all new hire paperwork, and maintaining accurate records in the HR database system. Additionally, you will enter timesheets in Timeclock Plus, verify the accuracy of time and per diem logs, and run daily and weekly reports for the team's superintendent to approve employees' time. Your responsibilities will also include assisting the project accountant with invoices and expense reports, supporting the project start-up and close-out processes, and providing assistance to the Project Manager and the team as needed. The ideal candidate will be assertive, able to cope with pressure, and a team player with excellent communication skills, capable of interacting with both construction and non-technical personnel. You will handle various administrative duties such as maintaining and updating files, databases, and records, keeping project paperwork organized, requisitioning supplies, and ensuring the office trailer is stocked and clean. This position is essential for maintaining the efficiency and organization of the project team, contributing to the overall success of the solar project.

Responsibilities

  • Serve as a liaison for HR and Accounting departments.
  • Onboard new hires and conduct urinalysis tests.
  • Process all new hire paperwork and scan through HR database system.
  • Enter timesheets in Timeclock Plus and verify accuracy of time and per diem log.
  • Run daily and weekly reports and send to team's superintendent for approval of employees' time.
  • Send final approved weekly payroll report with per diem log to the payroll department.
  • Assist the project accountant with invoices and expense reports.
  • Support the project start-up and close-out processes.
  • Assist the Project Manager and the team as needed.
  • Maintain and update files, databases, records, and/or other documents.
  • Keep project paperwork organized, filing and scanning.
  • Requisition supplies and ensure the office is stocked with office supplies.
  • Clean the office trailer and maintain a tidy work environment.

Requirements

  • Minimum of High School diploma required.
  • Minimum of 2+ years in a similar role within the construction industry required.
  • Detail oriented, organized, and efficient individual able to complete tasks in a timely and accurate manner.
  • Provide outstanding customer service internally to fellow employees and subcontractors.
  • Strong data entry skills.
  • Ability to create spreadsheets, and proficient with Microsoft Excel, Word and Outlook.
