About the position

As an Administrative Assistant I in Surgical Services at Southern NH Health System, you will play a crucial role in providing administrative support to the department. This position requires a high level of organizational ability to coordinate divisional workflow effectively. You will be responsible for maintaining up-to-date organizational references and coordinating various administrative support functions for the divisions. Effective communication is essential, as you will interact with both internal and external customers in a confidential manner. You will report directly to the Associate Vice President, ensuring that all administrative tasks are handled efficiently and professionally. In this role, you will manage the calendars for the Chief Surgical Officer, Associate Vice President, and all Directors as instructed. Your responsibilities will include creating and modifying documents, spreadsheets, and databases using Microsoft Office or other applicable software. You will also perform general clerical duties such as photocopying, faxing, mailing, and filing. Additionally, you will receive and screen incoming requests to the department, making referrals and taking appropriate action when necessary. Coordinating and setting up meetings, including preparing all necessary materials and food, will also be part of your duties. You will be responsible for recording, transcribing, filing, and distributing meeting minutes, ensuring that all relevant information is documented and shared appropriately.

Responsibilities

Requirements

  • High School diploma or equivalent.
  • Associate degree in a related field preferred.
  • Minimum of two years Administrative Assistant experience.
  • Expertise in Microsoft Office software.
  • Excellent verbal and written communication skills.
  • Ability to function independently and work well with others to accomplish projects.
  • Ability to achieve competencies in scheduling, web page management, archiving/filing, supply management, and workflow management.
