About the position

The Accounting Assistant will support the finance department by managing accounts payable and receivable, assisting in financial reporting, and ensuring compliance with financial regulations. This role involves transaction processing, reconciliations, administrative support, and tax assistance, contributing to the overall efficiency of the accounting operations.

Responsibilities

  • Handle accounts payable and receivable, including daily posting, invoice & cash receipts entry, charge credit card & ACH payments.
  • Assist sales & customer service department with order release.
  • Generate RMA credit & debit notes.
  • Monitor customer accounts, issue statements, and follow up on overdue payments.
  • Address vendor inquiries and resolve invoice disputes.
  • Assist in generating daily, weekly, and monthly financial reports, including accounts receivable summaries and operational updates.
  • Support month-end and year-end closing activities.
  • Perform reconciliations for bank accounts, credit cards, and vendor statements.
  • Verify and process freight invoices, utility bills, and other expense-related documents.
  • Organize and maintain financial and HR documents.
  • Assist with payroll preparation and related documentation.
  • Purchase office supplies & warehouse materials.
  • Book business travel arrangements for salesperson.
  • Arrange owner's personal matters upon request.
  • Prepare supporting documents for sales and use tax filings.
  • Assist with audits and ensure compliance with financial regulations.
  • Order office and warehouse supplies as needed.
  • Issue rent invoices to tenant support facility-related transactions, schedule maintenance as needed.
  • Handle quarterly and annual tasks such as bad debt write-offs and supporting tax filings.

Requirements

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting or related field preferred.
  • 2 years previous experience in accounting, bookkeeping, or clerical roles is required.
  • Proficiency in accounting software and Microsoft Office.
  • Strong attention to detail and organizational skills.
  • Ability to multitask and meet recurring deadlines.

Nice-to-haves

  • Bilingual in Chinese Mandarin reading, writing & speaking is preferred.
