About the position

The Administrative Assistant 2 position at the University of Washington's Orthopaedic Surgery and Sports Medicine department is crucial for providing comprehensive administrative support to a team of nine orthopaedic surgeons. This role involves coordinating daily clerical tasks, managing schedules, and ensuring a smooth experience for visitors and observers. The position offers a hybrid work environment, allowing for a mix of in-office and remote work, and requires strong organizational and communication skills to effectively support faculty and manage various administrative functions.

Responsibilities

  • Assist nine faculty members with all administrative needs including coordinating workload and schedules.
  • Process dictated messages and/or email correspondence for physicians.
  • Compose and edit correspondence for physician's signature.
  • Maintain and balance faculty department funds and budgets.
  • Coordinate domestic and international travel, creating detailed itineraries and processing reimbursement requests.
  • Update doctor CVs and renew medical licenses as required.
  • Assist with ABOS recertification and promotion paperwork.
  • Coordinate meetings and event planning as needed.
  • Maintain faculty calendars and provide away dates to personnel.
  • Conduct literature searches and obtain articles via the University of Washington Library system.
  • Provide back-up administrative support for other orthopaedic faculty members when needed.
  • Triage office mainline and respond to inquiries regarding departmental procedures and services.
  • Maintain reception area organization and cleanliness, and manage office supplies.
  • Coordinate all observers/visitors while following department and hospital rules.

Requirements

  • High School/GED AND two years of office or administrative experience OR an equivalent combination of education and experience.
  • Experience providing administrative support.
  • Ability to work independently and prioritize workload, demonstrating strong organizational skills.
  • Attention to accuracy, thoroughness, and ability to follow procedures carefully.
  • Excellent interpersonal and communication skills, demonstrating tact and professionalism.
  • Experience with Microsoft Word, Excel, and Outlook.
  • Cultural sensitivity and awareness.
