About the position

The Administrative Assistant position at Merchant Industry LLC involves providing essential administrative support to the operations team, particularly in the area of POS merchant services. The role requires strong organizational and communication skills, as well as the ability to manage multiple tasks while maintaining excellent customer service and relationships with merchants and ISOs.

Responsibilities

  • Perform general administrative duties such as answering phones, scheduling, managing emails, and preparing reports.
  • Maintain and organize both digital and physical files, ensuring accuracy and proper documentation.
  • Assist in preparing documents for meetings, presentations, and training sessions.
  • Coordinate office supplies and equipment to maintain smooth office operations.
  • Handle merchant service inquiries via phone, email, or in person, providing prompt and accurate information.
  • Assist with onboarding new merchants and handle various office tasks.
  • Enter merchant data into company systems with attention to detail and accuracy.
  • Assist in processing and following up on merchant service applications, ensuring timely and accurate documentation.
  • Prepare monthly merchant service reports, including transaction summaries and service usage.
  • Monitor and update merchant accounts, addressing discrepancies or issues as they arise.
  • Provide excellent customer service and maintain strong merchant relationships through regular communication.

Requirements

  • High school diploma required; associate's or bachelor's degree in business, office administration, or a related field is preferred.
  • At least 2 years of administrative experience is a plus.
  • Prior experience in the merchant service industry or working with POS systems is required.
  • Familiarity with credit card processing, POS systems (hardware and software), and merchant services programs.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint) and Google Suite.
  • Basic knowledge of POS systems and credit card processing operations.
  • Excellent verbal and written communication skills.
  • Strong attention to detail, organizational skills, and the ability to manage multiple tasks.
