About the position

The Administrative Assistant plays a crucial role in supporting the day-to-day operations of the property at Macerich, specifically at the Fashion Outlets of Chicago. This full-time, in-person position involves providing administrative support to various managers, ensuring smooth operations, and assisting with tenant relations and documentation processes.

Responsibilities

  • Obtain all pertinent information and documentation required for generating SLD lease documents.
  • Send documents to tenants for execution through DocuSign.
  • Discuss with tenants all move-in requirements such as business information, sign approval, and insurance requirements.
  • Guide new SLD tenants through the opening process.
  • Walk the mall daily to confirm SLD tenants are open and operating as required, notifying tenants of non-compliance as necessary.
  • Maintain correspondence and documentation for the Specialty Leasing program.
  • Document program activities, including possession dates and opening/closing of tenants.
  • Process all information and correspondence, including filing and distributing to appropriate personnel.
  • Work with the Specialty Leasing Manager in preparing regular and on-demand reports.
  • Assist with the collection of delinquent rents and submission of sales reporting for SLD tenants.
  • Assist General Manager, Operations Manager, and Marketing Manager with general property management and marketing tasks.
  • Track common area space and inventory availability as requested.
  • Maintain current inventory list of all cart/RMU fixtures and order supplies as necessary.
  • Perform all other duties as assigned.

Requirements

  • High School diploma or equivalent.
  • Minimum 5 years administrative experience.
  • Experience in commercial real estate administration preferred.
  • Intermediate knowledge of Microsoft Office including Word, Excel, PowerPoint, and Outlook.
